Position: Executive Assistant Location: Downtown Toronto, ON Salary: $90,000 - $100,000 Job Type: Full-time Permanent Work Arrangement: Hybrid Posting Type: Open Vacancy Our client, a well-established investment firm located in downtown Toronto, is seeking an experienced Executive Assistant to provide high-level administrative support to a Senior Vice President and Vice President. This is an excellent opportunity for a polished and highly organized Executive Assistant who enjoys working in a professional, fast-paced environment and partnering closely with senior leaders. The successful candidate will be proactive, detail-oriented, and confident managing complex schedules, competing priorities, and sensitive information with discretion. You will play an important role in keeping day-to-day priorities organized, anticipating needs, and ensuring the executives you support are able to operate effectively. Key Responsibilities: - Provide dedicated executive support to a Senior Vice President and Vice President - Manage complex calendars, meetings, appointments, and scheduling priorities - Coordinate internal and external meetings, including preparation of materials as required - Arrange travel and prepare detailed itineraries - Manage expenses, invoices, and related administrative documentation - Prepare, format, proofread, and edit correspondence, presentations, reports, and other materials - Monitor upcoming deadlines, follow up on outstanding items, and help keep priorities on track - Liaise professionally with internal stakeholders, clients, and external contacts - Maintain confidential records and handle sensitive information with discretion - Support meetings, events, and other departmental initiatives as required - Anticipate executive needs and proactively manage administrative priorities - Provide additional administrative and project support as needed What We're Looking For: - Several years of Executive Assistant or senior administrative support experience - Financial services, investment, professional services, or corporate experience would be an asset - Excellent written and verbal communication skills - Advanced proficiency with Microsoft Office, including Outlook, Word, PowerPoint, and Excel - Strong organizational skills with excellent attention to detail - Ability to manage multiple priorities in a fast-paced environment - Professional, polished, and confident communication style - Strong judgment, discretion, and ability to handle confidential information - Proactive approach with the ability to anticipate needs and work independently Please send your resume in Word format to Angelica Stewart at angelica.stewart@quantum.ca.
