Position: Office Coordinator Location: On-Site in Vaughan Salary: Up to $65,000 Posting Type: Open Vacancy Job Type: 12-month Contract with Potential for Extension Our client, a well-established retirement community in Vaughan, is seeking a friendly, organized and detail-oriented Office Coordinator to support its busy front office on a 12-month contract. This role is ideal for an experienced administrative professional who enjoys working in a people-focused environment and is comfortable balancing front-office responsibilities with payroll, documentation and day-to-day administrative support. You will interact regularly with residents, families, visitors and team members, so professionalism, patience and a warm, service-oriented approach are essential. What You'll Do: - Provide day-to-day administrative support to the office and management team - Welcome residents, families, visitors and service providers - Answer telephone calls and respond to general inquiries - Maintain resident files, records and other confidential documentation - Support payroll administration, including payroll entry and related updates using Dayforce - Assist with processing rental payments and other basic accounting administration - Prepare documents, correspondence, spreadsheets and reports - Support the coordination of resident move-ins - Assist with filing, data entry, photocopying and document organization - Order office supplies and help keep the front office organized - Provide coverage and general support to the Concierge team - Assist with other administrative duties as required What You Bring: - Previous experience in office administration, reception or a similar administrative support role - Hands-on payroll administration experience - Experience using Dayforce is very nice to have - Experience in retirement living, healthcare, hospitality or residential property management is an asset - Strong organizational and time-management skills - Excellent verbal and written communication skills - A warm, professional and service-oriented approach - Strong attention to detail and discretion when handling confidential information - Proficiency with Microsoft Outlook, Word, Excel and Teams - The ability to work independently, manage multiple priorities and adapt to changing needs - Flexibility and a willingness to assist with a variety of office responsibilities - A valid driver's licence and access to a vehicle Please send your resume in Word format to Angelica Stewart at angelica.stewart@quantum.ca.
