Role Description The Administrative Support Specialist is a full-time, on-site role based in Kitchener, ON, providing day-to-day administrative and customer service support for condominium communities. Responsibilities include answering and directing phone calls, responding to email inquiries, and greeting residents, vendors, and visitors in a professional manner. The role involves preparing and processing correspondence, maintaining digital and physical records, and assisting with scheduling meetings and organizing documentation for Boards and property managers. This position helps coordinate maintenance requests, supports community communications, and collaborates with team members to ensure efficient office operations. Qualifications Candidates should possess strong Administrative Assistance skills, including document preparation, data entry, record-keeping, and scheduling. Candidates should possess excellent Customer Service and Communication skills to interact effectively with residents, Boards, vendors, and colleagues. Candidates should possess professional Phone Etiquette skills for handling inbound and outbound calls in a courteous and organized manner. Candidates should possess basic Accounting skills, such as invoice processing, payment tracking, and working with accounting or property management software. Additional beneficial qualifications include attention to detail, strong organizational abilities, proficiency with common office software (e.g., MS Office, email tools), and the ability to manage multiple tasks and deadlines. Previous experience in property management, real estate, or condominium administration is an asset, as is familiarity with condominium governance and related documentation. A high school diploma or equivalent is required; post-secondary education in business administration, office administration, or a related field is considered an advantage.
