Job details
Help power the future of Canada’s built environment From fiber optic networks and high-voltage systems to solar farms and the infrastructure behind AI-driven data centers, ROHL is building what comes next. Headquartered in Western Canada with operations expanding across North America, we work with enterprise, government, and wholesale clients across telecommunications, utilities, solar, power, and real estate. We’re looking for a sharp, proactive Executive Assistant to be the organizational engine behind our Associate Director, Business Development, and a go-to coordinator across our legal, marketing, sales, and administrative teams. Why this role is different This isn’t a calendar-only EA job. You’ll touch proposals, contracts, marketing campaigns, and client relationships, working across multiple ROHL divisions. If you enjoy variety, thrive on keeping many moving pieces on track, and like seeing your work directly support business growth, you’ll fit right in. What you’ll do * Run the executive’s world: Manage calendars, travel, and expenses; prepare meeting agendas and briefing materials; capture action items; and follow up so nothing slips. * Fuel business development: Help prepare proposals, RFP responses, quotes, and presentations; maintain the client pipeline tracker; and coordinate client meetings, site visits, and engagements with community and Indigenous partners. * Keep contracts in order: Route agreements for review and signature, maintain the contract register, flag key dates and renewals, and liaise with external legal counsel. * Bring the brand to life: Coordinate marketing materials and digital content, keep our asset library on-brand, and support trade shows, conferences, and events. * Keep everything running smoothly: Produce polished documents, maintain document control and filing systems, process invoices and purchase requests, and support office administration and onboarding, all with the discretion that confidential work demands. What you bring * 2–3+ years as an Executive Assistant or senior administrative professional, ideally supporting a director-level leader * Experience supporting multiple functions such as legal, marketing, sales, or business development * Post-secondary education in Business or Office Administration, or equivalent experience * Advanced Microsoft Office skills and excellent written communication * Exceptional organization, attention to detail, and sound judgment when juggling competing priorities * A collaborative, adaptable approach and the ability to work independently Bonus points for: RFP/proposal, contract administration, or marketing coordination experience; a background in construction, utilities, telecom, or solar/power; and familiarity with CRM, document management, or e-signature tools. What we offer * Competitive salary – commensurate with experience * Comprehensive benefits including dental, vision, and extended health for you and your family * Group RSP / TFSA matching plan * Training and professional development opportunities
