Job Title: Adminstrative Assistant Location: Calgary, AB – Onsite 5 Days/Week Duration: 6.5 Months Possible Extension: Up to 12 Months About the Role We are seeking a detail-oriented Admin Assistant – Appeals Support to provide administrative and hearing support in a fast-paced tribunal environment. The role will serve as a key point of contact for parties involved in appeal hearings while supporting internal stakeholders with pre-hearing administration, hearing coordination, documentation, and post-hearing processing. The successful candidate will be highly organized, professional, detail-oriented, and comfortable managing multiple priorities while working with sensitive information and diverse stakeholders. Key Responsibilities Provide administrative support to Appeals Officers and hearing panels. Prepare and distribute correspondence and maintain appeal documentation. Create and maintain document indexes and appeal document packages. Coordinate hearing logistics, including teleconference and video conference arrangements. Support parties with instructions for participating in different hearing formats. Attend hearings, manage recordings, troubleshoot technical/process issues, and support participants. Respond professionally to inquiries and assist parties during unexpected or sensitive situations. Maintain accurate statuses and timelines within internal systems. Coordinate with internal teams to resolve status errors or omissions. Format, proofread, and quality-check hearing decisions and related documents. Ensure documents follow established style guides, formatting standards, and publication requirements. Communicate with Hearing Chairs regarding document corrections or potential errors. Maintain accurate records and support post-hearing file updates. Mandatory Skills & Qualifications High School Diploma/GED. Strong verbal and written communication skills with the ability to interact professionally with diverse stakeholders. Strong organizational skills with the ability to prioritize multiple responsibilities and projects. Excellent attention to detail. 12+ years adapting to new business environments, coordinating with business/technical teams and vendors, managing stakeholder relationships, and facilitating collaboration. 12+ years using Microsoft Office Suite. 12+ years working in fast-paced environments involving independent and team-based problem-solving and troubleshooting. 21+ years of relevant experience in a role applicable to administrative/appeals support. 12+ years working with clients/stakeholders to gather, document, and analyze business data and process requirements. Preferred Skills Post-secondary education in Office Administration or a related area. 2+ years of Information Governance, records management, or information management experience. 2+ years working with information management, privacy, and security considerations related to ATIA and POPA. 2+ years working directly within the Government of Alberta, 1GX, or a comparable Canadian public-sector ERP environment. 2+ years working with workers' compensation systems such as WCB. Experience supporting hearings, tribunals, legal/administrative proceedings, or regulated environments.
