The Office Administrator will manage daily online lunch orders, maintain accurate electronic records, and generate operational reports. They will also provide administrative support, including scheduling, filing, and coordinating communication between kitchen staff and school representatives.
We are seeking a highly organized and detail-oriented Office Administrator to support the daily operations of our School Lunch Program. The successful candidate will be responsible for coordinating online lunch orders, maintaining accurate records, and assisting with administrative functions to ensure the smooth operation of the program. The ideal candidate will have strong computer skills, significant experience using Microsoft Excel, excellent organizational abilities, and a commitment to providing outstanding customer service. KEY RESPONSIBILITIES ORDER MANAGEMENT * Process and manage daily online lunch orders. * Verify order accuracy and distribute order reports to kitchen and delivery teams. * Coordinate order changes, cancellations, and special requests. * Monitor ordering deadlines and communicate reminders as needed. DATA ENTRY & REPORTING * Maintain accurate electronic records of orders, payments, and customer information. * Create, update, and manage spreadsheets using Microsoft Excel. * Generate daily, weekly, and monthly reports. * Track participation numbers and provide data analysis to management. * Reconcile order records and identify discrepancies. ADMINISTRATIVE SUPPORT * Maintain organized filing systems, both electronic and paper-based. * Assist with scheduling, correspondence, and general office duties. * Prepare reports, meeting materials, and administrative documents. * Support inventory and purchasing records as required. COORDINATION & COMMUNICATION * Work closely with kitchen staff, delivery personnel, and school representatives. * Ensure accurate communication regarding menu changes, allergies, and special dietary needs. * Help coordinate program activities and operational schedules. QUALIFICATIONS REQUIRED * Minimum 2 years of office administration experience. * Advanced proficiency in Microsoft Excel, including: * Formulas and functions * Sorting and filtering data * Creating reports and spreadsheets * Data entry and record management * Strong knowledge of Microsoft Office Suite (Word, Outlook, Excel). * Excellent organizational and time-management skills. * Strong attention to detail and accuracy. * Excellent written and verbal communication skills. * Ability to manage multiple tasks and meet deadlines. * Ability to work independently with minimal supervision.
