Acting as a true strategic partner, the role contributes directly to the efficiency of operations and to the achievement of ambitious occupational health and safety objectives, both on construction sites and in corporate settings. What you will do Ensure the handling and drafting of all required correspondence and oversee the execution of various mandates across different departments; Act as the main point of contact for the Vice President, Health & Safety, serving as a central liaison to receive, assign, and follow up on requests a s needed; Coordinate various executive meetings, including the preparation of required documents and/or presentations; Proactively anticipate potential issues and promptly identify and report any obstacles or blockers; Ensure efficient and proactive calendar management, including business travel arrangements and coordination of the Vice President’s travel; Develop and maintain an effective filing and document management system; Ensure task follow-up and prioritization, as well as the quality and efficiency of existing processes; Facilitate the execution of the Vice President’s duties and responsibilities; Coordinate team activities and ensure smooth communication among team members; Provide translation support for various communications, as required; Prepare, track, and follow up on executive expense reports and related payments; Synthesize and structure information received from various stakeholders and/or executives; Draft various publications, editorials, and speeches. This Role Is For You If You Have A minimum of five (5) years of experience in an executive support role; A Diploma of Vocational Studies (DEP) or AEC in a relevant field; Strong creativity, autonomy, and versatility; A high level of rigor and the ability to manage multiple priorities simultaneously; Excellent organizational skills, a strong sense of responsibility, and good political acumen; Strong interpersonal and relationship-building skills; A high degree of adaptability; Proven discretion and respect for confidentiality; Sound judgment and the ability to anticipate needs and requirements; Strong attention to detail; Integrity and a collaborative, caring mindset; Advanced knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook); Proficiency with technological tools such as Copilot is considered an asset.
