About the Role We are looking for a highly organized and detail-oriented Administrative Assistant, Legal & Real Estate to support both our Legal and Real Estate teams. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities, and takes pride in keeping documents, trackers, and processes organized and up to date. You will work closely with internal teams, franchisees, landlords, tenants, and other external partners to support the day-to-day administration of our Legal and Real Estate functions. Key Responsibilities Legal & Administrative Support Provide day-to-day administrative support to the Legal team. Organize, maintain, and accurately file legal and corporate documents. Save and organize documents in internal systems and shared drives. Complete Tenant Conduct Forms and maintain related records. Update internal trackers, boards, and progress reports to ensure information is current and accurate. Assist with document preparation, tracking, and follow-up. Monitor outstanding items and follow up with internal and external stakeholders as required. Franchisee & Insurance Support Manage and track Certificates of Insurance (COIs) for franchise locations. Follow up with franchisees regarding outstanding insurance documentation and other required information. Communicate with franchisees regarding outstanding balances, documentation, and general inquiries. Maintain accurate records of communications and outstanding items. Escalate issues or concerns to the appropriate team member when required. Real Estate Support Provide administrative support to the Real Estate team on lease and property-related matters. Maintain organized records for leases, properties, tenants, and related documentation. Update Real Estate trackers and project boards. Assist with document collection, filing, and follow-up with landlords, franchisees, and other stakeholders. Support the team with various administrative and coordination tasks related to new and existing locations. What We're Looking For 2+ years of administrative experience. Experience supporting a Legal or Real Estate team is an asset. Strong organizational and time-management skills. Extremely detail-oriented with a high level of accuracy. Strong written and verbal communication skills. Comfortable communicating with franchisees, landlords, vendors, and internal stakeholders. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Proficiency with Microsoft Office, particularly Outlook, Word, and Excel. Comfortable working with digital filing systems, trackers, and project management boards. Takes initiative and is able to work independently while knowing when to escalate issues.
