Join the Family and Community Services department as an Administrative Assistant (Operations and Managerial Assistant) within the Child and Family Wellbeing branch, where you’ll provide high-level administrative and operational support while helping programs respond to community needs. From coordinating daily operations and projects to supporting reporting, procurement, safety, and building operations, you’ll use your organization, sound judgment, and problem-solving skills to help create a welcoming, efficient environment that supports staff, participants, and the community. Key Responsibilities: * Provide comprehensive administrative support to the Manager, including proactively managing and coordinating the Manager’s calendar, scheduling meetings, preparing materials and logistics, tracking action items, and supporting communication between the Manager, staff and external partners * Ensure efficient and coordinated branch operations by monitoring daily workflows, following up on shared tasks with other departments, and maintaining accurate documentation * Provide oversight of building operations including coordinating maintenance, repairs and janitorial services, as well as support OHS practices to maintain a safe, clean and welcoming environment * Support project planning, tracking and execution while monitoring progress and flagging issues that require attention * Maintain accurate data, reporting and compliance documentation, as well as support grant reporting, evaluation activities and data collection * Support financial, procurement and contract administration processes, and coordinating with finance or procurement teams as needed * Supervise the Operations and Administrative Support position to ensure consistent high-quality service delivery Qualifications and Skills: * Post-secondary training or certificate in Office or Business Administration (or equivalent specialized training), with 3–5 years of relevant experience * Advanced proficiency with a wide range of digital tools and applications, including Planner, Google Docs, Adobe, Excel, PowerPoint, SharePoint, Teams, and related platforms * Experience working with client information databases, grant reporting, and evaluation processes, with the ability to maintain accurate records and support compliance requirements * Strong time-management and organizational skills, with the ability to work independently, prioritize effectively, and adapt to frequent interruptions and shifting priorities * Proven ability to prepare clear, accurate reports, correspondence, and meeting documentation * Demonstrated ability to apply established project management principles, tools, and methodologies to support planning, coordination, and execution of activities * Leadership or supervisory experience is an asset * Experience with accounting, procurement, and contract administration is preferred * Familiarity with databases such as REDCap, Alchemer, and NewOrg is an asset Conditions of Employment: * Ability to perform physical labour as part of the job duties including lifting up to 20 lbs.
