About the role
Join the Data and Analytics team, in the Senior Specialist, Data and Information position. This role ensures that records are created, managed, protected, retained, and disposed of appropriately across their lifecycle, in alignment with CMHC’s information governance framework, corporate risk posture, and legal and legislative obligations.

What you’ll do:

  • Lead enterprise initiatives to improve and modernize records management practices.

  • Design, develop, implement, and manage a compliance‑based records management framework, including policies, standards, guidelines, procedures, and monitoring mechanisms.

  • Develop and maintain operational guidelines that enable consistent implementation of records management practices across business lines and systems.

  • Provide functional and technical guidance to business lines, IT, Legal, ATIP, Security, and Risk partners to ensure adherence to records management policies, standards, and governance requirements.

  • Provide expert advice on the management of records throughout their life cycle, including classification, retention, legal holds, disposition and archival.

  • Establish performance indicators and metrics to monitor qualitative and quantitative benefits of records management initiatives, and monitor, measure, and categorize records‑related risks and compliance issues.

  • Collaborate with IT and solution teams to assess and guide the use of technologies supporting records management, and support business adoption of new Records Management practices, tools, and processes.

  • Act as the senior escalation point for complex, high‑risk, or precedent‑setting records management issues.

  • Ensure appropriate safeguarding, disposition approval, and transfer of archival records to Library and Archives Canada.

  • Design and oversee enterprise information management and SharePoint training and awareness initiatives.

What you should have:

  • An undergraduate degree in information management, records management, library and archives, business, public administration, law, or a related field.

  • A minimum of 10 years of experience in information or records management.

  • Significant experience working with enterprise content and records management platforms M365 and SharePoint. An experience with MS Purview and RecordPoint would be an asset.

  • Demonstrated knowledge of records management principles, standards, and best practices, including lifecycle management, retention and disposition, and risk‑based governance.

  • Strong understanding of relevant legislative and regulatory requirements (e.g., Library and Archives of Canada Act, Access to Information Act, Privacy Act, and related Treasury Board policies).

  • Experience developing and implementing records management policies, standards, procedures, and compliance monitoring mechanisms.

  • Experience advising senior stakeholders and providing authoritative guidance on complex or sensitive information issues.

  • Strong oral and written communication skills.

It would be great if you also had:

  • Certified Records Manager (CRM) or equivalent professional designation.

  • Experience supporting change management and organizational adoption of new information management practices.

  • Experience in the federal public sector or another highly regulated environment and/or financial institution.
