We are looking for an Administrative Coordinator to provide dedicated, proactive administrative coordination support to the Director of Employee Health, Safety & Wellness and their department at WorkSafeBC. In this role, you’ll partner with the Director to build a strong team and fulfill a common vision. This position requires you to use a high level of discretion and tact in handling confidential and sensitive information. This role combines time in our offices with flexibility for remote work. Manage complex calendars for the Director, including meetings, travel, and priorities Track, follow-up on, and report on action items assigned to the Director Prepare, organize, and maintain complex and confidential documents, records, and information Compose and proofread written responses, correspondence, memos, meeting minutes, presentations, and other communications from verbal and written sources Partner with the Director to coordinate and support programs, projects, and organizational initiatives Coordinate appointments, meetings, conferences, and team events, including meeting room bookings, agendas, presentations, speaking notes, and catering Collaborate with cross-functional departments on organization-wide campaigns and provide technical support throughout Monitor deadlines and follow up on outstanding items with the Director and Employee Health, and Safety Management Team to support timely completion of priorities Coordinate travel arrangements and process expense claims, invoices, and related documentation. Coordinate onboarding and offboarding activities, including equipment, system access, schedules, and orientation activities Provide administrative coordination and support to the Director and team, including prioritizing and organizing tasks and information Consistently model the appropriate level of organizational behaviours expected of all WorkSafeBC employees: responsive, respectful, fair, collaborative, accountable, and forward thinking. We're Looking For Someone Who Can Be flexible and responsive to emerging priorities and time‑sensitive requests Exercise sound judgment and independence Build and maintain effective working relationships Synthesize complex or varied information Communicate clearly and concisely, verbally and in writing, to a variety of groups and individuals Meet deadlines in a high-volume, multi-tasking, client-focused environment with a strong attention to detail Interact with key WorkSafeBC personnel and external sources while exercising discretion in providing information in the absence of the Director Handle confidential and sensitive information, and resolve conflicts Identify opportunities to improve systems and processes; recommend solutions and refer issues as appropriate Problem-solve proficiently, demonstrating initiative and resourcefulness Your Background And Experience Completion of grade 12 and post-secondary education in Business or Business Administration is preferred 3-5 years of related work experience in an administrative role supporting senior management and/or Director level operations Strong working knowledge of Microsoft office applications (including Word, Excel, PowerPoint, Teams, SharePoint, Clipchamp, Forms, etc.) Other equivalencies may be considered We’ll consider an equivalent combination of education and experience. Requirements

Applicants should have 3–5 years of administrative experience supporting senior management or Director-level operations, strong Microsoft application skills, and the judgment, communication, organization, and discretion needed to manage sensitive information and competing priorities.
