Job summary

Reporting to People and Culture Manager, the Office Administrator’s primary responsibility is to ensure smooth day-to-day operations of the office. This individual will be responsible for developing and coordinating office procedures, and supporting departments with administrative tasks. A key member of the Admin team, the right candidate will possess a ‘yes attitude’, demonstrate high attention to detail, be able to anticipate tasks and take initiative. The Office Administrator will also serve as a point of contact for employees, vendors and visitors, providing excellent customer service. This role is essential for maintaining a productive and efficient workplace environment. Key Deliverables and Responsibilities: Provide front office support, including greeting staff and visitors, answering general office phone line and providing administrative support to employees Responsible for overall facilities management including: General office maintenance; Ordering office supplies and other office materials; Coordinating with the landlord and external vendors for repairs & maintenance; Monitoring of the security system, issuance of security pass cards & be available after hours to be the first point of contact for the security company; Administering company-paid parking. Be an active member of Wenco’s Social Committee, taking lead on in-office and external social events Lead North American site compliance on client compliance websites Act as the primary point of contact for the Egencia travel platform and support branch administrative roles with regards to Wenco’s Travel Program Manage Wenco’s cell phone plan in co-ordination with IT including issuing phones as needed, monitoring usage, and adding temporary coverage for travelling employees Assist Executive Assistants with administrative tasks Assist HR with onboarding and offboarding employees, within an administrative capacity; Handle other ad hoc requests, special assignments and projects as directed. Experience and Knowledge 1-2 years of experience in a relevant role Diploma in Business Administration or Certificate in related field Strong knowledge of Microsoft Office applications (Excel, Word, PowerPoint) Knowledge of Adobe Inventory tracking experience an asset Event planning experience an asset Occupational First Aid Level 1 Certification an asset Skills and Abilities Strong organizational skills Detail oriented Reliable Excellent communication skills, including the ability to write clear, formal business communications Excellent interpersonal skills Strong time management skills Strong problem-solving skills with an ability to think outside of the box Base salary of $55,000 - $65,000, commensurate with experience and qualifications.
