Receptionist Location: Mississauga, Ontario Permanent/Full-Time The Receptionist is responsible for providing reception, administrative, and office support services to ensure the efficient day-to-day operation of Air Canada Vacations. This role serves as a key point of contact for employees, visitors, and vendors while supporting office administration, facilities coordination, Flight Attendant recruitment activities, meeting logistics, mail and courier services, and workplace programs. The Receptionist plays an important role in delivering a positive employee and visitor experience while ensuring the office operates efficiently and professionally. Key Responsibilities Serve as the first point of contact for employees, visitors, vendors, and external stakeholders, providing professional and courteous customer service. Answer, screen, and direct incoming telephone calls and inquiries. Welcome visitors, manage reception services, maintain visitor logs, and support office security procedures. Receive, sort, distribute, and track incoming and outgoing mail, courier shipments, packages, inter-office correspondence, and legal documents. Prepare courier shipments and FedEx waybills, coordinate packaging, monitor deliveries, and provide shipment tracking information to employees. Coordinate meeting room bookings, visitor accommodations, and meeting logistics, including room setup, catering, refreshments, and hospitality services. Ensure reception, boardrooms, and common areas are organized, professional, and maintained throughout the day. Order, maintain, and monitor office supplies, stationery, materials, kitchen supplies, and workplace amenities while managing inventory levels. Coordinate office maintenance and facilities-related requests, liaising with building management, vendors, and service providers to resolve workplace issues. Monitor office equipment, including printers, scanners, and workplace devices, and arrange service and repair support when required. Process invoices and administrative documentation, ensuring appropriate approvals are obtained and records are maintained. Support workplace events, employee training sessions, and corporate meetings by coordinating logistics, attendance materials, catering, and room preparation. Prepare, assemble, organize, and maintain documentation and recruitment materials required to support Flight Attendant recruitment activities, hiring events, interviews, and candidate processing. Assist with employee administration activities, including maintaining records, coordinating employee photos, and supporting onboarding and HR-related administrative processes. Support workplace health and safety activities, including inspections, monitoring first aid and emergency equipment, and maintaining related records. Maintain confidentiality and exercise discretion when handling sensitive information, employee records, and company documentation. Support office operations by identifying opportunities to improve administrative processes, workplace efficiency, and service delivery. Perform other duties and special projects as assigned by the Manager, Human Resources. Qualifications and skills required: Proven work experience as a Receptionist, Office Administration or similar role Available from 8:30am- 5:00pm Proficiency in Microsoft Office, Word, Excel, Powerpoint Experience managing social events Hands-on experience with office equipment (fax machines, printers etc.) Professional attitude and appearance Solid written and verbal communication skills Ability to be resourceful and proactive when issues arise Excellent organizational skills Multi-tasking and time management skills, with the ability to prioritize tasks Excellent Customer Service attitude WHY WORK WITH US?
