Urban Legal Recruitment is excited to be assisting our valued client in the recruitment of a Legal Administrative Assistant to join its Calgary office. This full-time, permanent opportunity provides critical legal administrative support to a team of lawyers whose practices focus on Energy law. Our client is seeking a highly organized and detail-oriented professional with at least four years of legal assistant experience, ideally within an Energy or Corporate law practice. The successful candidate will be able to balance multiple priorities, exercise sound judgment, and thrive in a fast-paced environment Principal Duties & Responsibilities Draft, prepare, and compile various types of correspondence, documentation, forms, and filings using Word, Excel, PowerPoint, and Outlook. Organize and maintain physical and digital systems that support efficient management of client communications, records, and client/document files. Open and close client files while adhering to established intake and file-closing procedures. Manage and respond to client inquiries and conduct follow-up as required. Prepare expense reports, docket entries, cheque requisitions, client accounts, e-billing, accounts receivable status reports, and collections-related documentation. Coordinate and maintain lawyer calendars, deadlines, and bring-forward systems, including arranging appointments and gathering supporting materials for meetings. Coordinate detailed business development activities, including travel arrangements, accommodations, event registrations, and ticket procurement. Provide team support when appropriate and necessary. Perform additional duties and special projects as assigned. Qualifications Legal Assistant Diploma from an accredited college. Minimum of four (4) years of legal assistant experience. Strong background in Energy Law is considered a priority asset. Experience in Corporate Law is considered an asset. Experience with iManage and/or Intapp Open is considered an asset. Advanced proficiency in Microsoft Office with strong overall technical skills. Excellent interpersonal, verbal, and written communication skills. Exceptional attention to detail and proofreading abilities. Ability to manage multiple competing priorities and urgent deadlines. Ability to work independently in a fast-paced, team-oriented environment. Professional, accountable, responsive, and proactive approach to work.
