Your Role The Medical Office Assist reports to the Clinic Operations Manager and works closely with the clinical team. The Medical Office Assistant is an integral part of a busy and dynamic clinic practice. In this role you will be expected to exercise sound judgment and independence while managing the day-to-day related administrative activities. You will demonstrate a strong commitment to quality customer service applying excellent problem solving and communication skills to ensure the success of the clinic. Job Responsibilities: * Receiving and processing incoming referrals. * Receive patient phone calls, voicemails and emails, triaging to appropriate team members * Schedule routine procedures as required, * Maintaining referral tracking and statistics. * Professional verbal and written communication with patients. * Communication with referring physicians’ offices. * Proper documentation within EMR * Uphold office procedures and policies. * Ensures patients satisfaction, promotes excellent customer service and maintains professional attitude. * Maintains filing and organizational systems. * Send treatment quotes to the patients in a time manner. * Explain the treatment quotes to the patient. * Maintain appropriate reports for the management. * Ensure patient satisfaction. * Other administrative duties based on operational needs Experience / Position Requirements: * 1 years of administrative experience * Experience with IDEAs an asset * Computer Savy * Proficient in Microsoft Office/Suite * Excellent interpersonal and relationship building skills * Superior time management, organizational and self planning skills * Demonstrated satisfactory work performance and attendance history * Excellent communication skills. Skills: * Ability to prioritize, organize workload and plan independently. * Exceptional phone etiquette and interpersonal skills. * Strong attention to detail and problem-solving skills. * Strong written and verbal communication skills. * Demonstration of good attendance and work performance. * Knowledgeable about providing a safe and inclusive environment to gender and sexually diverse people (2SLGBTQIA+) * Committed to patient centered care.
