Our team brings decades of hands-on carrier and vendor experience, and we recently launched a vendor-agnostic, AI-integrated Network Management System (NMS) that is helping operators simplify network monitoring and management across vendors. We are a small, fast-moving team, and this role will work in close, daily partnership with the President. Position Summary We are looking for an organized, proactive, and detail-oriented Executive Assistant to support the President of Telence Solutions. This is a fully remote position based in Canada, and the ideal candidate will take full ownership of travel coordination, tradeshow and event logistics, and day-to-day administrative operations, allowing the President to focus on client relationships and business growth. Key Responsibilities Travel Management • Own end-to-end planning and booking of domestic and international travel, including flights, hotels, ground transportation, and visas where required. • Build detailed, day-by-day itineraries and proactively flag scheduling conflicts. • Monitor travel changes, delays, and cancellations, and rebook or adjust plans in real time. • Track and reconcile travel-related expenses and receipts. Tradeshow & Event Management • Coordinate logistics for tradeshows and industry conferences, including registration, booth arrangements, shipping of materials, and on-site scheduling. • Maintain a calendar of relevant industry events and recommend which ones warrant company participation. • Liaise with vendors, venues, and event organizers to manage deadlines, deliverables, and budgets. • Prepare pre-show and post-show summaries, including attendee lists and follow-up action items. Administrative Support • Manage the President's calendar, scheduling meetings and resolving conflicts across time zones. • Prepare correspondence, presentations, reports, and meeting materials. • Handle expense reporting, invoicing support, and light bookkeeping coordination as needed. • Maintain organized digital files, contact lists, and internal documentation. • Take on other ad hoc administrative and project-support tasks as they arise. Qualifications • 2+ years of experience as an Executive Assistant, Administrative Assistant, or similar support role. • Proven experience managing complex travel arrangements and/or event or tradeshow logistics. • Excellent written and verbal communication skills. • Strong organizational skills with the ability to manage multiple priorities independently in a remote setting. • Proficiency with common productivity and scheduling tools (e.g., Microsoft Office/Google Workspace, calendar and travel-booking platforms). • High degree of discretion and professionalism when handling confidential information. • Based in Canada and legally authorized to work in Canada.
