This position manages the front desk, answers and directs incoming calls, supports customer interactions, and provides general administrative assistance to help keep dealership operations running smoothly. The ideal candidate is approachable, dependable, organized, and comfortable managing multiple priorities while delivering excellent customer service. KEY RESPONSIBILITIES * Greet customers, visitors, vendors, and employees in a warm, friendly, and professional manner. * Answer, screen, and direct incoming telephone calls and emails promptly and courteously. * Connect customers with the appropriate Sales, Service, Parts, or Finance team member and ensure they are assisted promptly. * Help create a positive customer experience by monitoring the reception and waiting areas, maintaining refreshments, and providing updates when needed. * Provide administrative support, including filing, data entry, document preparation, and scanning contracts or work orders. * Receive and distribute incoming mail, packages, and deliveries, and coordinate outgoing items. * Maintain a clean, organized, and professional reception area that reflects the dealership’s standards. * Support the Sales, Service, Parts, and Finance departments with administrative tasks and customer follow-up as required. * Maintain the confidentiality of customer, employee, and dealership information. * Jump in to assist the team wherever needed to support efficient daily operations. QUALIFICATIONS & REQUIREMENTS * High school diploma or equivalent. * Previous experience in reception, administration, retail, hospitality, or customer service is an asset—but automotive experience is not required. * Strong verbal and written communication skills. * Friendly, professional, and confident when interacting with customers. * Strong organizational skills and the ability to manage multiple priorities. * Comfortable using computers and learning new programs; experience with Microsoft Office or dealership management software is an asset. * Dependable, punctual, and committed to providing excellent service. * Able to remain positive, composed, and attentive to detail in a busy environment. * Willingness to learn, take initiative, and contribute to a team.
