Position Summary We are looking for a dynamic, efficient and motivated office and reception clerk to join our team. Reporting to the Finance team, the incumbent will play a pivotal role in welcoming visitors, managing calls, and keeping the office running smoothly. More specifically, the Office and Reception Clerk will be responsible for: Responsibilities: Reception Preparation of various shipments (letter, parcel, etc.) with the various services (Canada Post, Purolator, Fed-Ex, etc.); Be the person responsible for receiving mail from the various receptions (Canada Post, Purolator, Fed-Ex, etc.); Greet clients and visitors and tell them the instructions to follow for their meeting (signing the register, directing them to the right person, offering a drink, etc.); Print the attendance sheet for visitors Respond to telephone and email inquiries, forward telephone calls and messages to the appropriate individuals; Updating the telephone list (Adding or removing); Send different general communication emails to the office (birthdays, years of service, etc.); Save a copy and forward received faxes to the appropriate persons Assists in the distribution of information information to administrative employees. Preparation of the conference room before and after the meetings, when requested; Respond to requests from managers in the office. Office Tasks Entry of suppliers' invoices into the computer system; Verification and follow-up of shipment invoicing; Request their company's Certificates and Attestations from suppliers and update the Certificates contact list; Verification of company registration numbers with GST and QST on request; Print invoices arriving by email every day and distribute them to the people concerned; Any other related duties deemed relevant to the position. Qualifications: DEP completed in secretarial work or any other field deemed relevant; Completed high school diploma; 1 to 3 years of experience in a related field, preferably in a manufacturing environment; Advanced knowledge of the Office suite; Spoken and written bilingualism required (French, English) in order to communicate well with our English- and French-speaking customers and visitors; Customer service oriented; Dynamic, autonomous and motivated; Ability to work on various files simultaneously.
