Prepare, edit, and proofread documents; handle inquiries, mail, messages, filing, bookkeeping, and patient registration. Assist with daily staffing and scheduling, communicate staffing concerns to the Manager, and support patients, employees, and visitors.

Job details

Duties Key in, edit and proof-read correspondence, reports, statements, invoices, forms and other documents, using word processing software and computers. Receive and forward telephone or counter inquiries to the appropriate person and provide general information to clients and the public. Photocopy and collate documents for distribution, mailing and filing. Maintain and update manual or computerized filing, inventory, mailing and database systems. Open, sort and route incoming mail, manually or electronically. Send and receive messages using facsimile machines or electronic mail. Perform routine bookkeeping tasks such as preparing invoices and bank deposits. Sort, process and verify applications, receipts, expenditures, forms and other documents. Receive and direct employees, patients and visitors. Transcription of orders as required. Assess and assist with staffing/scheduling on a daily basis and communicate staffing concerns as required to the Manager. Register patients according to policy as required. Other duties as assigned. Qualifications Diploma in Office Administration or Health Office Administration Certificate or equivalent education and/or experience, preferably in a health care environment. Experience Proficiency in medical terminology. Previous work in an outpatient clinic. Proficient in a Microsoft environment including word and excel. Ability Ability to work in a team environment or independently. Knowledge of hospital software applications such as Meditech, ADT, ADM and PHA, and Xerox. Excellent communication, analytical, investigation and organization skills. Demonstrated ability to maintain successful working relationships; ability to meet and interact with people in a pleasant, professional, responsible and reassuring manner, both in person and on the telephone; tact, courtesy and alertness in public contacts. Demonstrated behaviour consistent with the hospital’s mission statement and core values. Knowledge of PHIPA; Personal Health Information Protection Act. Requirements

A diploma in Office Administration, a Health Office Administration Certificate, or equivalent education and/or experience is required, preferably in a healthcare setting. Candidates should have medical terminology knowledge, outpatient clinic experience, Microsoft Office proficiency, familiarity with hospital software, strong communication and organizational skills, and knowledge of PHIPA.
