Purpose of the Role: This is a dynamic and multifaceted role providing high-level executive support to the Managing Director, Insurance. This is an exciting opportunity to be part of a growing and collaborative team. The successful candidate will work closely with the Managing Director and their leadership team, engage with the Insurance group, collaborate with the Private Wealth leadership team, and build strong relationships with both internal and external stakeholders. This is a hybrid role located in our Vancouver office. Core Responsibilities: Provide comprehensive executive assistance, including email and correspondence management, gatekeeping, complex calendar management, travel coordination, report preparation, drafting confidential communications, research, electronic filing, and general office administration. Proactively manage the Managing Director, Insurance's calendar, coordinating company commitments, external boards, and associations while anticipating scheduling needs and resolving conflicts before they arise. Coordinate internal meetings by setting up agendas, documenting key discussion points and action items, distributing notes post-meeting, and organizing recurring sessions for seamless team collaboration. Act as the first point of contact for the Managing Director, Insurance, providing gatekeeping, problem-solving, and liaison support with company leadership and external business contacts. Develop and maintain a strong relationship with the Managing Director, Insurance to anticipate needs, provide proactive support, and manage internal and external communications. Utilize Excel to perform accounting-type calculations, maintain reports and project trackers, and ensure timely and accurate expense reconciliation and reporting. Coordinate projects and time-sensitive initiatives involving the Managing Director, Insurance while maintaining a strong understanding of business priorities, planning processes, project timelines, and clients. Create effective PowerPoint presentations and information packages for the Senior Leadership Team, Nicola Wealth Board, and other business meetings as required. Required Skills & Qualifications: A minimum of 5 years of related work experience preferably with exposure to the financial planning and investment services industries. Completion of a bachelors degree and financial industry related courses are an asset – CIM, CFP, LLQP, etc. Excellent organizational skills and excellent written and oral communication skills. Excellent proficiency in Microsoft Office (Outlook, Powerpoint, Word and Excel) and strong understanding of modern tools and technology. Demonstrate sound judgement, diplomacy, tact, business acumen, and the ability to anticipate and proactively handle day-to-day challenges. Build strong relationships through excellent interpersonal skills, with the ability to work effectively both independently and as part of a collaborative team. Thrive in a fast-paced environment by effectively multitasking, taking initiative, prioritizing competing demands, and working independently with minimal supervision. Exhibit excellent attention to detail, critical thinking, and analytical ability to ensure accuracy and informed decision-making. Compensation & Benefits Package: This position comes with a competitive base salary hiring range of $65,000-$80,000, dependent on experience, skills, qualifications and internal equity.
