Responsibilities * Work directly with Tax and Assurance Practitioners to support the day-to-day management of their client portfolios and growing practices. * Coordinate schedules, meetings, and deadlines while proactively preparing information and materials required for client engagements. * Communicate effectively with clients, team members, and external stakeholders to ensure timely follow-up and completion of tasks. * Receive, distribute, redirect, and respond to mail, email, telephone calls, reports, and other correspondence, ensuring appropriate action is taken to meet deadlines. * Prepare, format, proofread, and finalize professional correspondence, reports, financial statements, and other client deliverables using firm templates and standards. * Assemble, process, and file year-end financial statement and tax packages for clients. * Support personal and corporate tax filing activities during busy season, including document tracking, return assembly, e-filing, electronic signature coordination, portal uploads, and submission management. * Monitor filing deadlines and maintain accurate records to ensure compliance and timely delivery of client documentation. * Manage practitioner billing activities, including drafting, processing, and distributing client invoices. * Prepare, submit, and track expense claim reimbursements. * Coordinate internal and external meetings, room bookings, video conferences, and firm events. * Provide occasional reception coverage and general office support as required. * Assist with special projects and perform other administrative duties as assigned. Skills and Experience * 2+ years of administrative experience * Previous administrative experience in a professional services environment is considered an asset; experience in an accounting, tax, or legal office is preferred. * Diploma or certificate in Office Administration, Business Administration, or a related field, or an equivalent combination of education and experience. * Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams. * Exceptional organizational and time-management skills with the ability to manage competing priorities and deadlines. * Excellent written and verbal communication skills. * Strong attention to detail and commitment to producing accurate, high-quality work. * Ability to handle confidential information with professionalism and discretion. * Experience working with document management systems, client portals, and electronic filing processes is an asset. * Ability to work independently while contributing effectively as part of a collaborative team.
