Job summary
Executive Assistant Salary range is 72,000-77,000 + full and extensive benefits + 3 weeks of vacation + personal days+ a terrific pension plan!!! This role requires the individual to work in the office typically 2 days per week. The location for the office is downtown Toronto and less than a 5 minute walk from Union Station. The OPPORTUNITY: The role is with a client that prides itself on being an extremely collaborative organization that requires someone with a “service-oriented mentality”! The organization is looking for someone who wants to provide exceptional administrative support to four Executives. The client wants someone with initiative, strong attention to detail and the ability to manage and prioritize multiple requests throughout the day. In this role you will provide calendar management, travel coordination, assist with planning events and expense management. This is an exciting role for a highly capable Executive Assistant who thrives in a busy and collaborative environment! Responsibilities include: Calendar management: manages time and priorities for Executives which includes scheduling/rescheduling internal and external meetings, appointments to align with priorities Plan and arrange travel (flights, hotel and car service) and provide a detailed agenda Provide administrative support including managing correspondence, emails, documentation, booking boardrooms etc. Draft and edit correspondence Assist with planning events Expense management and expense reconciliation Special projects and ad hoc duties as assigned Qualifications: 2-4+ years of experience as an Executive Assistant, supporting 2-3 busy executives Experience with administrative duties/tasks in a service-oriented environment Excellent time management skills with the ability to multitask and manage competing priorities Able to manage confidential information with discretion Proficient in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook for scheduling meetings) A collaborative, team-oriented nature with a genuine interest in helping out Accurate and detail-oriented with a strong work ethic Open to learning and bringing new ideas to the table
