The Office Administrator is responsible for maintaining an organized office environment, greeting visitors, and managing facility supplies. They also provide administrative support to senior management, including travel coordination, expense reporting, and meeting logistics.
To maintain an organized, welcoming, and well-functioning office while providing timely administrative support to employees, visitors, vendors, and senior management. RESPONSIBILITIES * Responsible for greeting guests to facility and maintaining guest log. * Maintain a clean organized reception desk, kitchen area, and all common office areas. Including scheduling and coordinating any maintenance needed. * Oversee inventory and replenishment of all office supplies, including kitchen/break room supplies. * Maintain multiple conference room calendars to ensure successful usage of shared conference spaces. * Coordinate all needs for onsite meetings including catering, supplies needs, conference room set-up/clean-up, and assist with any basic AV needs (projectors, laptop set-up, etc). * Assist Senior-level management with administrative tasks as needed, such as travel coordination and submission of expense reports. * Create purchase orders in Omega * Ship out items, when needed * Set vendors up in TPH * Collection and distribution of mail. * Other duties as assigned QUALIFICATIONS * High School diploma, or equivalent required. * Previous experience in office administration, reception, or a similar support role required. * Proficient computer skills, including MS Office, and knowledge of standard office equipment. * Effective communication skills - written and verbal. * Excellent organizational skills. * Problem assessment and problem solving. * Flexibility to multitask and shift priorities when needed. * Customer service orientation. * Ability to multi‐task while working in a fast‐paced, globally diverse environment. * Strong attention to detail, with time management and decision‐making skills * Excellent interpersonal and communication skills required
