We are seeking a Resources Assistant to join our Kelowna office. The successful candidate is an enthusiastic and hardworking team player, regular working hours for this role are Monday – Friday, 8:30am – 4:30pm.
Standard Responsibilities

Provide reception coverage for two days per week, including greeting visitors, answering phones, directing inquiries, managing boardroom setup, coffee and water stations, and supporting general front desk operations

Provide vacation coverage for the Office Service Team (Reception, Bank Runner, etc.)

Coordinate catering orders for internal meetings and office events

Sort, distribute, and process incoming and outgoing mail, courier packages, and registered mail

Complete bank deposits, courthouse runs/filings, and other office support duties as required

Prepare and draft correspondence and legal documents

Enter time, support billing processes, and prepare expense reports

Maintain efficient file management and bring-forward systems for lawyers

Manage calendars, emails, and day-to-day practice support for lawyers

Liaise with legal assistants, paralegals, lawyers, and clients regarding file progress

Provide administrative and office support to staff across the office as needed
Qualifications:
-
1+ year of experience in a professional office, reception, hospitality, customer service, or office services environment

Administrative Assistant certification or related office administration training preferred

Valid driver’s licence and access to a reliable vehicle required

Strong customer service and interpersonal skills with a professional and approachable demeanor

Excellent organizational skills and strong attention to detail

Ability to prioritize tasks, multi-task, and work effectively in a fast-paced environment

Proficiency with Microsoft Office applications

Ability to work independently and collaboratively within a team environment

Proactive, reliable, and service-oriented approach

Ability to lift and move office supplies, paper, and file boxes up to 50 lbs.

Bookkeeping experience an asset
The hiring range for this position is $50,000 - $60,000 annually; the base pay offered is based on location and may vary depending on job-related knowledge, skills, experience, internal and market equity.
