This is a permanent assignment consisting of two related positions that have been combined into a single bundled posting to reflect operational requirements.
**DISTRICT – BEFORE AND AFTER SCHOOL CHILDCARE COORDINATOR **
ONE POSITION FOR THE SCHOOL DISTRICT.
TWENTY HOURS PER WEEK, Monday to Friday, 1:30pm – 5:30pm
THIS IS A NEW POSITION AND WILL RECEIVE A FINAL PAY RATING 6 MONTHS AFTER THE NEW INCUMBENT STARTS AS PER THE JOB EVALUATION PLAN.
AN INTERIM HOURLY RATE OF $31.19 WILL BE APPLIED.
KNOWLEDGE AND EXPERIENCE
- Secondary school graduation or equivalent.
- Early Childhood Educator (ECE) – including a valid certificate or equivalent background in a related field.
- Recent experience working in an elementary school setting.
- Related childcare experience.
- Specialized training or coursework and/or knowledge and experience in proactive behaviour strategies, the Early Learning Framework (ELF) and the First People's Principles of Learning
- Ability to communicate effectively both verbally and in writing, working alongside staff, and interacting with parents/caregivers with courtesy, tact and discretion through a lens of inclusion.
- Ability to work proactively and in a self-directed manner.
- This job requires the applicant to have a valid BC Driver's License and use their personal vehicle.
- Hold a valid First Aid Certificate or is willing to obtain valid certification.
- Experience presenting to staff in professional learning context (preferred).

RESPONSIBILITIES
- Liaise effectively with Vancouver Island Health Authority (VIHA), Supported Child Development, school administration, families, the Manager – Childcare and District Principal – Early Learning & Childcare (or their Designate) with an appreciation for teamwork.
- Provide childcare related support to school-based principals, vice principals and administrative assistants.
- Purchase supplies as necessary and within budget.
- Respond to parent/caregiver, family and community requests for information and resources.
- Participate in training and professional learning as both a participant and a presenter.
- Assist Manager – Childcare with children needing an individual care plan.
- Cover childcare staff shortages in the before & after school board-operated childcare programs when on-call staff are unavailable to cover.
- Ensure that VIHA Child Care Facility guidelines are followed and license requirements are always met when working directly in the childcare programs.
- Assist the childcare assistants and coordinators in providing support and strategies for children to be successful in the program.
- Work with individual children to build key skills—such as self-regulation—that support a successful program experience.
- Report safety, unexpected behaviour and behaviour concerns to the Manager – Childcare, maintaining confidentiality.
- Demonstrate ways to use the Early Learning Framework and First Peoples Principles to guide children's experiences in the program.
- Assist Manager – Childcare with other duties as assigned.
**CLERK ACCOUNTS - CHILDCARE ******
ONE POSITION FOR THE SCHOOL DISTRICT.
FIFTEEN HOURS PER WEEK, Monday to Friday, in the morning.
THIS IS A NEW POSITION AND WILL RECEIVE A FINAL PAY RATING 6 MONTHS AFTER THE NEW INCUMBENT STARTS AS PER THE JOB EVALUATION PLAN.
AN INTERIM HOURLY RATE OF $29.00 WILL BE APPLIED.

Secondary school graduation plus an additional program of over two
years in clerical, bookkeeping or office administration or related experience.

Minimum of three (3) years of general office experience with
bookkeeping/accounting experience.

Keyboarding skills (minimum 50 words per minute) and the operation
of common office equipment and machines.

Advanced knowledge of relevant software programs, including the
ability to import/export data between programs (Windows, Word, Excel, Outlook, PDF, Publisher and Canva) and knowledge or training in the use and support of school-based student information systems (MyEd).

Excellent knowledge of business English, spelling, grammar,
punctuation, arithmetic, and general office practices.
-
Demonstrated financial management skills and ability to analyze
financial data.

Flexibility and a sensitivity toward communicating with
parents/caregivers.

Ability to work as a team member and establish effective working
relationships.

Accountable for care, accuracy and attention to detail in all
aspects of work and satisfactory provision of service.
- Working knowledge of Ministry of Education & Childcare childcare subsidy program reporting (preferred).
RESPONSIBILITIES
-
Track monthly parent childcare fees collected at the school level in coordination with the school-based admin assistant.

Follow up with families who have unpaid childcare fees in coordination with the school-based admin assistant and Manager – Childcare.
-
Complete Affordable Childcare Benefit (ACCB) application form in coordination with parents/caregivers who qualify.
-
Liaise with the school-based admin assistant to inform them of accurate monthly ACCB waiver amounts to be applied to parent fees.
-
Submit accurate monthly invoices to ACCB to receive subsidies.
-
Preparation of basic journal entries related to childcare revenues, subsidies, and adjustments.
-
Manage the collection of monthly attendance reports from board-operated childcare programs to enter accurate subsidy enrolment reports (CCOF and CCFRI) to the Ministry of Education & Childcare.

Collate monthly wage enhancement amounts and enter accurate ECE monthly reports to the Ministry of Education & Childcare.
-
Prepare Supported Childcare Development (SCD) and other agency partner monthly invoices. Liaise with Finance Dept. to reconcile revenues to support reports and invoices.

Liaise with Finance Dept. to code and reconcile subsidy/ACCB/wage enhancement funding to the correct GL codes whenever government payments are received.

Liaise with school-based staff and Payroll to resolve discrepancies related to staff hours and the application of the Child Care Wage Enhancement.

Assist the Manager – Childcare with the preparation and monitoring of operational budgets, forecasts, or summary reporting as required.

Assist the Manager – Childcare with the registration process of new childcare participants.
-
Assist the Manager – Childcare with the on-boarding of new childcare staff.
-
Assist the Manager – Childcare with preparing materials (handbooks, meeting agendas, workshop materials etc.)

Maintain accurate and up-to-date records.****
