As our company continues to grow, we are looking for an organized, proactive, and highly dependable Executive Assistant to support leadership and help keep our operations running smoothly behind the scenes.
The Position You will be an integral member of our team, supporting leadership with a wide variety of administrative, operational, and coordination responsibilities. This role is ideal for someone who enjoys organization, thrives in fast-paced environments, and takes pride in helping others succeed. Specifically, as an Executive Assistant, you will: Actively manage, support, and anticipate the administrative needs of company leadership. Coordinate calendars, scheduling, meetings, travel arrangements, and day-to-day priorities. Assist with managing emails, communications, and follow-ups on behalf of leadership. Help coordinate internal operations, staff logistics, and administrative workflows. Support project coordination for productions, events, meetings, and company initiatives. Prepare documents, spreadsheets, reports, presentations, and meeting notes. Liaise with clients, vendors, venues, and internal team members professionally and efficiently. Support invoicing, expense tracking, and coordination with accounting when required. Help maintain office organization, supplies, and general operational efficiency. Handle sensitive and confidential information with professionalism and discretion. Assist leadership in keeping projects, commitments, and deadlines on track. Adapt to changing priorities and support wherever needed as the company grows.

Additional Requirements Minimum 5+ years of experience in an executive assistant, administrative, or operations support role. Strong proficiency with Microsoft Office Suite, Google Workspace, and collaboration tools such as Microsoft Teams, Zoom, Dropbox, etc. Strong organizational, communication, and time management skills. Ability to prioritize tasks and work independently with minimal supervision. Experience in event production, live events, construction, creative industries, or fast-paced operational environments is considered an asset. Experience with scheduling software, project management platforms, or CRM systems is considered an asset. Valid driver’s license required with a clean drivers abstract.
