About the role

FNF Canada, a division of Fidelity National Financial, is one of the country’s largest providers of title insurance and ancillary services. With our continued growth in Canada, we are seeking a Funding Administrator on a full-time basis.

The ideal candidate will be a client focused, highly professional self-starter with demonstrated experience in a similar function. He/she will also have a positive attitude with a high level of quality workmanship and attention to detail.

 

Primary responsibilities:

  • Calculate mortgage payouts and prepare funding documentation, including payout letters, statements of receipt, and statements of disbursement 
  • Manage a queue of real estate files and complete all related funding activities within established service standards and deadlines 
  • Calculate and verify amounts required to discharge secured debts, mortgages, and other encumbrances
  • Requisition funds from lenders and monitor receipt of funds to ensure timely file completion 
  • Liaise with clients, lenders, financial institutions, and internal departments to obtain information and resolve funding-related inquiries
  • Review funding requirements and ensure all necessary documentation has been received and properly recorded
  • Provide accurate instructions and supporting information to the Trust Accounting team regarding receipt and disbursement of funds 
  • Verify the accuracy of financial information and identify discrepancies requiring investigation or escalation 
  • Maintain detailed and organized electronic records in accordance with company procedures and regulatory requirements
  • Ensure funding transactions comply with company policies, lender instructions, and applicable legal and regulatory guidelines
  • Assist in tracking outstanding mortgage payouts, discharge requests, and funding conditions 
  • Respond to routine client, lender, and internal inquiries in a professional and timely manner
  • Escalate complex funding, accounting, or documentation issues to senior team members as appropriate 
  • Complete daily administrative and ad hoc funding-related tasks, including cheque processing and separation, document scanning, faxing, courier coordination, and other duties as assigned
  • Contribute to process improvement initiatives and support the Funding team in maintaining efficient workflows and service excellence

In-person collaboration and office-based work is necessary for this role.

Qualifications:

  • Post-secondary education in Business Administration, Accounting, Finance, Law Clerk studies, or a related field preferred.
  • Strong attention to detail and accuracy when working with financial calculations and legal documentation 
  • Excellent organizational and time-management skills with the ability to manage multiple files and deadlines 
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office applications, particularly Outlook, Excel, and Word
  • Ability to work effectively both independently and as part of a team in a fast-paced environment
  • Previous administrative, customer service, banking, legal, or real estate experience is considered an asset
  • Ability to work flexible hours
