Job Description How You’ll Make an Impact: As the Bilingual Office Coordinator, you will support the efficient day-to-day operation of the workplace and ensure a professional, safe, and welcoming environment for employees, clients, visitors, and service providers. You will serve as a key point of contact for workplace services, coordinate with internal stakeholders and external vendors, and manage multiple administrative and operational priorities independently within a restricted-access corporate environment. As a Bilingual Office Coordinator, you will: Act as the primary point of contact for employees, visitors, internal stakeholders, building management, and external vendors. Coordinate daily office and workplace service activities to ensure smooth and efficient operations. Respond promptly and professionally to employee requests, workplace concerns, and service inquiries. Coordinate vendors and service providers, including scheduling, access, follow-up, and service-quality monitoring. Manage office supplies, equipment, common areas, meeting rooms, mail, courier services, and workplace-related requests. Support the coordination of building maintenance, repairs, security, and other facilities-related services. Process invoices, purchase orders, and vendor documentation while maintaining accurate records. Assist with office moves, employee onboarding, workspace preparation, and access coordination. Support workplace health and safety practices, emergency procedures, and related documentation. Maintain confidentiality and exercise discretion when handling sensitive information. Identify operational issues and follow through with the appropriate stakeholders until they are resolved. Serve as the main point of contact for building- or bank-related emergency calls and respond when required, including to overnight calls. Occasionally work during evenings or weekends to support business requirements, anticipated to be no more than four times per year. Perform other administrative and workplace coordination duties as required. Qualifications What You’ll Need to Succeed A college diploma or university degree in Office Administration, Facilities Management, Business Administration, or a related field. A minimum of two to three years of experience in workplace services, facilities coordination, office administration, or a similar corporate environment. Fluency in both English and French, with excellent written and verbal communication skills in both languages. Excellent customer service, communication, and interpersonal skills. Strong organizational and multitasking abilities, with the capacity to manage multiple priorities simultaneously. Strong attention to detail and the ability to follow through on requests and operational issues. Experience coordinating external vendors and service providers. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams. The ability to work independently and exercise sound judgment in a restricted-access corporate environment. Professionalism, discretion, and the ability to handle confidential or sensitive information. Experience with invoice processing, purchase orders, and vendor management is considered an asset. Knowledge of workplace health and safety practices and emergency-response procedures is considered an asset. Availability to respond to emergency calls outside regular business hours, including overnight when required. Flexibility to occasionally work evenings or weekends, approximately four times per year. Work Schedule Monday to Friday during standard business hours. Regular shift work is not required. Occasional evening or weekend work may be required, anticipated to be no more than four times per year. The successful candidate must be available to respond to building- or bank-related emergency calls when required, including overnight.
