About the role

Position Summary Warrior Engineering is seeking a highly organized and creative Marketing & Proposals Coordinator to support business development, proposal preparation, marketing initiatives, brand development, and corporate communications. This role is responsible for coordinating proposal submissions, maintaining and strengthening the Warrior Engineering brand, supporting business development activities, and ensuring the company is professionally represented across all client-facing materials and events. The successful candidate will work closely with technical staff, project managers, the Operations Manager, and company leadership to communicate Warrior Engineering's unique value proposition and support the pursuit of new business opportunities across Northern Ontario and beyond Key Responsibilities Proposal Development Coordinate proposals, Expressions of Interest (EOIs), Requests for Qualifications (RFQs), and Requests for Proposals (RFPs). Maintain proposal templates, project descriptions, resumes, and corporate qualification materials. Coordinate technical inputs from project teams and ensure submissions meet client requirements and deadlines. Prepare proposal graphics and submission packages. Support proposal tracking systems and opportunity pipelines. Support business development activities through opportunity research and procurement monitoring. Marketing & Brand Management Support the development and implementation of Warrior Engineering's marketing strategy. Maintain brand consistency across all communications and marketing materials. Develop marketing collateral including brochures, capability statements, project profiles, presentations, and promotional materials. Coordinate website updates and maintain current service descriptions, project examples, and company information. Develop content for social media platforms, newsletters, recruitment campaigns, and client communications. Assist with photography, project storytelling, and case study development. Support recruitment marketing initiatives and employer branding efforts. Events & Corporate Engagement Coordinate Warrior Engineering's participation in conferences, trade shows, career fairs, community events, Indigenous engagement activities, client functions, sponsorship opportunities, and industry networking events. Act as the primary liaison between event organizers and Warrior Engineering's Operations Manager to coordinate event logistics, registrations, schedules, booth requirements, sponsorship commitments, staffing needs, and event deliverables. Develop event plans and coordinate internal resources to ensure successful event execution. Prepare and manage all event-related marketing materials, including banners, displays, brochures, handouts, presentations, promotional items, signage, social media content, and digital communications. Coordinate branding and messaging to ensure a consistent and professional representation of Warrior Engineering at all events. Assist with event setup, takedown, and on-site coordination as required. Capture and organize event photos, content, project highlights, and success stories for use in future marketing, recruitment, and business development initiatives. Support post-event follow-up activities, including lead tracking, client communications, and reporting on event outcomes. Business Development Support Maintain client and contact databases. Assist with business development planning and client outreach initiatives. Support strategic growth initiatives and market research activities. Track marketing metrics, proposal success rates, and business development activities. Identify opportunities to strengthen Warrior Engineering's market presence and visibility. Document Management Maintain proposal libraries, marketing assets, project experience databases, and staff resumes. Ensure project descriptions, team biographies, and corporate information remain current. Support document control and version management within SharePoint and company management systems. Qualifications Diploma or degree in Marketing, Communications, Business, Public Relations, Journalism, Graphic Design, or a related field. Experience preparing marketing materials, communications, or proposal documents. Excellent written, editing, and proofreading skills. Strong organizational skills with the ability to manage multiple deadlines simultaneously. Proficiency with Microsoft Office Suite including power point. Experience with Canva, Adobe Creative Suite, WordPress, SharePoint, or similar software is considered an asset. Experience within engineering, construction, environmental consulting, Indigenous organizations, or professional services is considered an asset. Working Conditions Flexible work schedule with a hybrid work model. Occasional travel throughout Northern Ontario and other locations as required. Evening and weekend work may be required to support events, conferences, proposal submissions, and business development activities. Ability to lift and transport marketing materials, displays, and event equipment as required. Valid driver's licence and access to reliable transportation are considered assets.
