Career Outreach & Events Assistant (Temporary Part Time: July 2026 – April 2027)

The Career Outreach & Events Assistant reports to the Manager, Career and Experiential Learning, within the respective Career Centre portfolio. In alignment with Mohawk College’s mission and values, the incumbent provides broad administrative, customer service, event and resource development support in relation to career services. The Career Outreach & Events Assistant is a key member of the team and provides event administration support for virtual and in-person events including assisting with promotional activities and resource development, in addition to staffing the front desk of the career centre. The incumbent provides superior customer service for a diverse range of clientele, including students from across all program areas, staff, faculty, recent graduates, employers, and community members who use these services. This position will be on-campus, with a possibility of some remote work, and occasional travel to all campuses to provide event support. This position may involve occasional evening and weekend hours for event support and outreach activities. What you’ll be doing: Desk Reception/Triage Front desk reception to provide students, recent graduates, staff, faculty, employers and the college community with information on career services available through the Career Centre – in person and virtually. Triages and books career appointments, classroom presentations, workshops and with students referred from College services. Providing administrative support to the Career Centre programs and service areas. Maintains a well-organized reception, lounge and office area; maintains and updates regularly career resources including organizing virtual information libraries. Maintains inventory of office supplies, promotional items, event items and liaises with the Manager for ordering. Event Support and Outreach Assists in the planning and organization of career events within the Career Centre team. Assists in the promotion of events through website maintenance and social media. Assists in the setup and facilitation of events within the Career Centre. Assists in the planning and organization of virtual and in-person events within the Career Centre team, such as workshops, career events, recruiting and industry events, classroom presentations and other promotional activities through maintaining the website, social media outlets and career platforms such as CareerReady and CareerConnect. Data and Student Usage Metric Tracking Assists in the data tracking of departmental initiatives, event and program attendance. Assists in the organization and file management system on Sharepoint and other departmental file sharing tools. Responsible for inviting student feedback on services provided. Monitor and record student usage of space, including any Occupational Health & Safety capacity limits and procedures (eg user contact info for contact tracing). Reports on student appointment and program engagement data to the Manager, Career and Experiential Learning. Other duties as assigned. What you’ll bring to the role: Diploma in Office Administration, Career Development or Student Affairs/Services. One year of practical experience providing administrative support in a post-secondary setting is preferred. Preference will be given to candidates with experience working within a career centre or experiential learning environments. Preference will be given to candidates with increasing levels of experience and education. Customer service experience including in-person, phone and email/virtual correspondence. Organized and able to adapt to changing work environments. Experience working with social media tools would be considered an asset. Proficiency in/experience with business computer applications including Microsoft 365 platforms plus Internet researching skills and basic familiarity with office procedures is necessary. Ability to learn and adapt to new software applications including video content creation, AI and emerging technologies is important. Ability to navigate difficult situations including de-escalating if needed and providing referrals to other areas in the College. Approachable and relatable to all members of College community - Adjust oral and written communication styles to effectively communicate messages to all audiences, including supervisees, students, peer professionals, senior leaders, and faculty members. Peer-to-Peer & Student Leadership Administration – a demonstrated working knowledge of student leadership administration theories, approaches and best practices. Event Planning/Project Management – demonstrated experience coordinating workshops, event and managing projects. College Programs and Services - Knowledge of College programs, systems and learning technologies is an asset. Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility. The ability to communicate and work effectively with diverse students, employees, and communities.
