Overview
The Ktunaxa Nation Council has an opportunity for Administrative Assistant in Cranbrook BC. As a member of the Governance Transition Team, the Administrative Assistant provides administrative and clerical support to the Senior Governance Lead and the Senior Research Lead, and provides logistical support to the broader governance team. The Assistant will respond to routine inquiries, answer questions, take and transfer messages, schedule meetings, appointments and events, handle correspondence, prepare letters, briefing notes, minutes, invoices and reports, maintain databases and filing systems, and perform basic bookkeeping. In addition, they will manage a team travel schedule and make hotel/flight arrangements as needed and prepare corresponding travel claims.
As a member of the team that is guiding the Ktunaxa Nation through the process of achieving self-governance, the Assistant relieves the Governance team of administrative tasks, allowing them to focus on their core objectives. The Assistant must maintain knowledge of Ktunaxa Governments and build/maintain a good relationship with Leadership and other staff, in particular those with whom the governance team works. They will monitor operational environments and make suggestions for innovation in order to improve communication and collaboration. The Assistant must have a good understanding of the political landscape and the research and developmental processes associated with governance transition. They must also be willing to participate in on-the-land activities related to exercising Ktunaxa stewardship, title and rights. They demonstrate ethical actions and due diligence, while working collaboratively to achieve the Ktunaxa shared vision.
This is a full-time permanent position with full benefits. Salary Range: $66,033 - $72,619
Responsibilities
Relationships
Establish and maintain respectful, effective working relationships with Ktunaxa governance team members, Leadership and other community and Nation-level staff.
Build effective relationships with external agencies.
Processes
Establish and/or maintain processes for activity tracking, event and meeting scheduling, recording and transcribing minutes, travel and claim reconciliation, preparing communications, reporting and updating information regularly.
Establish and maintain processes through which to monitor operating environments for innovations.
Analytics
Analyze plans, policies, budgets and reports.
Analyze external party reports.
Analyze feedback with respect to communication activities.
Report Development
Provide regular reports on activities.
Prepare special reports as required.
Assist with preparation of annual report to Ktunaxa citizens.
Communication
Maintain standardized records of communication with governance team, other staff, Leadership, citizens, external parties, industry, government agencies and communities, and establish appropriate mechanisms for internal sharing.
Establish appropriate mechanisms for communicating urgent matters to the appropriate individuals; Governance Lead, Research Lead, Communities, CAO, CFO, Sector Directors, and others.

The ideal candidate will hold an Office Administration Certificate or Business Administration Certificate and have a minimum of three years of experience in a senior administrative assistant role.
Strong judgment, multi-tasking, and prioritization skills are essential, along with excellent time and project management abilities.
Advanced proficiency in MS Office applications, including Outlook, Word, Excel, and PowerPoint, is required, as well as familiarity with Management Information Systems and meeting platforms such as MS Teams and Zoom.
Exceptional presentation, technical writing, and verbal communication skills, combined with strong interpersonal, conflict resolution, and service capabilities.
Experience working respectfully with diverse populations and practicing cultural humility is highly valued.
Data management and analysis required to produce timely reports.
Project management experience including the ability to manage multiple projects at once.
Ability to participate on teams made up of individuals with diverse interests and aims.
Knowledge of and appreciation for the culture, values and political objectives of the Ktunaxa Peoples and Ktunaxa Governments.
Good communication skills with the ability to speak in public, to develop communications materials and to write reports.
Willingness to learn new skills and assume new functions, as governance transition occurs.
Travel within Ktunaxa territory is required. In addition, over-night travel to other locations beyond the Ktunaxa territory may be required.
