The Lab Operations Coordinator is responsible for supporting the efficient operation of the laboratory and office environment through administration, purchasing, document control, compliance coordination, project tracking, and operational support. This role works closely with technical, finance, quality, and operations teams to ensure laboratory activities are well organized, compliant, and aligned with business objectives. Key Responsibilities Administrative & Operational Support Maintain laboratory and office supply inventories and coordinate the purchasing of laboratory materials, equipment, consumables, and office supplies. Collaborate with Accounting and Procurement to onboard new vendors, obtain quotations, prepare purchase requisitions, and track purchase orders and invoices. Coordinate departmental shipping and receiving activities, including sample shipments and courier services. Direct inquiries to appropriate internal resources and coordinate the tracking and follow-up of technical inquiries. Collaborate with team members to identify operational needs and implement solutions that improve efficiency and effectiveness. Document Control & Compliance Develop, maintain, and continuously improve document management systems (electronic and hard-copy) to support ISO 17025 and regulatory compliance requirements. Support ISO 17025 compliance activities, including document control, record management, audit preparation, corrective action tracking, and proficiency testing coordination. Manage laboratory equipment records, including calibration schedules, maintenance documentation, and service records. Conduct or support internal audits related to safety, housekeeping, quality systems, and ISO compliance. Laboratory Operations Support Maintain chemical inventories, including tracking quantities, expiration dates, manufacturing dates, and storage requirements. Coordinate hazardous waste disposal activities in accordance with company policies and regulatory requirements. Maintain laboratory equipment inventories and asset records. Financial & Project Administration Track departmental operating and capital expenditures and support budget monitoring activities. Liaise with Finance and Accounting to ensure expenses are accurately coded, captured, and reported. Develop and maintain project tracking systems to provide visibility into R&D project status, timelines, resource allocation, and financial tracking. Develop, maintain, and report departmental KPIs and operational metrics. Systems & Continuous Improvement Assist with the implementation and administration of Laboratory Information Management Systems (LIMS). Support the management and maintenance of Product Data Structures and associated technical documentation. Participate in continuous improvement initiatives to enhance laboratory efficiency, data integrity, and operational performance. Qualifications & Education Requirements Qualifications Strong organizational, planning, and multitasking skills with exceptional attention to detail. Experience coordinating purchasing activities, vendor management, and invoice tracking. Experience maintaining controlled documents and records within a quality management system. Knowledge of ISO 17025, ISO 9001, or other regulated quality systems is considered an asset. Experience supporting laboratory operations, manufacturing, R&D, or technical environments is preferred. Familiarity with chemical inventory management, equipment calibration records, and laboratory safety practices is an asset. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and document management systems. Experience with ERP systems, purchasing software, LIMS, or project tracking tools is considered an asset. Strong written and verbal communication skills. Demonstrated ability to work independently while effectively collaborating with cross-functional teams. Strong analytical and problem-solving skills with a continuous improvement mindset. Education & Experience Diploma in Business Administration, Office Administration, Science, Laboratory Technology, Quality Assurance, or a related field. Minimum 3–5 years of experience in an administrative, laboratory coordination, quality, or operations support role. Experience in an ISO-regulated laboratory, manufacturing, chemical, food, or consumer products environment is preferred. Equivalent combinations of education and relevant experience will be considered.
