Position Summary
Reporting to the Director of Medevac Services, the Medevac Program Coordinator is responsible to provide support and expertise to the day-to-day logistics of all operational and medical aspects for the Medevac department. The role is to set the team up for operational success and the highest standard of patient care.

Key Responsibilities and Accountabilities
Collaborate with the Director of Medevac Services to maintain, organize and order medevac equipment and department supplies, e.g. base supplies, medical supply room/inventory, supply shortages, required minimums, expiry dates.
Manage equipment preventive maintenance requirements and repairs.
Research of new medical equipment, supplies and vendors.
Maintain/manage medevac residences, including schedule, supplies and maintenance of the Northern/Winnipeg residences.
Arrange all commuting AMS and pilot commercial flights and hotels for rotational shifts.
Facilitate training events, including booking training rooms, food and equipment.
Willing to obtain CPR and First Aid Instructor certificate and provide training for pilots, PCP and AMS and other departments as required.
Willing to obtain Respirator Fit Testing Trainer certificate to perform respirator fit testing for pilots and AMS.
Possible willing to obtain and assist with coverage for Medevac Flight Follower position.
Assist Medevac Flight Follower with invoicing and other duties, as required.
Maintain organization and storage of all Patient Care Records and provide administration duties for electronic patient care reporting program, including maintaining staff credentials.
Audits as departmentally required.
Maintain organization of vaccine documentation and assist with administration duties for clinics.
Reconcile monthly expenses for the Director of Medevac Services, including reconciling corporate credit card.
Provide assistance in maintaining detailed records of PCP and AMS training records.
Prepare monthly reports for delays (ground transfer, Cath lab), medevac trips for community allotments, cancelled trips, other reports as required.
Submit Other Than Air Ambulance (OTAA) statistics to MB Health.
Verify and submit monthly trip counts for statistics and payroll.
Verify Shared Health minimum billing threshold is met for each day.
Verify that all invoices have been processed in invoicing software (no trips outstanding or missed).
Monthly statement review for customer accounts – managing rejected invoices and investigating outstanding invoices.
Manage fuel pricing updates and seasonal rate changes in invoicing software, including airport fees.
Maintain and track retention programs for pilots and AMS.
Enter payroll data for Director of Medevac Services to approve – shifts, per diems, trip wages, OT, medical/personal days, etc.
Complete forms and gather required information for annual Air Emergency Medical Response System Licence renewal.
Actively participate in the Company’s Safety Management System.
Perform additional duties as assigned.
Minimum Education, Experience and Certifications
High school diploma or General Education Degree (GED) equivalent
Post-secondary education in a medical field preferred
2-3 years of invoicing/accounting experience
Previous experience using an invoicing software (Skyline preferred)
Previous customer service experience
Previous operational experience
Must possess a valid driver’s licence
Experience using Microsoft Office Suite (Outlook, Excel, Word)
Must be able to obtain and maintain any applicable transportation security clearances and additional authorizations
Indigenous and Cultural Awareness Training considered an asset
Working Conditions
Physically able to perform all listed job duties
Travel by aircraft and other means as required by role
Work performed primarily in an office environment
Manual dexterity required to use desktop computer and telephone
Physical location of position is only accessible via a flight of stairs
Able to lift and carry up to 50lbs
Work performed in multiple environments; contact with staff and, the general public, and vendors
Able to attend offsite work events as required (e.g. base audits)
