Position Status: Full Time (Contract September 2026-June 2027)

Compensation: $19.50-$23.50

About The Role

The Site Coordinator for the YMCA's Before and After School Program (YPHD), provides day-to-day leadership and oversight of program operations. Reporting to the YPHD Program Manager, the Site Coordinator is responsible for supervising all program and inclusion staff at their assigned location, fostering a positive team environment, and ensuring the delivery of safe, inclusive, and high-quality programming.

The Site Coordinator ensures that all operations are carried out effectively and efficiently throughout the school year while maintaining compliance with YMCA standards, policies, BAP requirements and best practices. This role supports staff development, promotes positive relationships with children and families, and helps create an engaging environment where every child can thrive.

Key Responsibilities

Provide day-to-day leadership and supervision of all Program staff, Inclusion Staff, and support staff assigned to the site, fostering a positive, collaborative, and accountable team environment. Serve as the direct supervisor and first point of contact for staff, addressing operational challenges, coaching staff, managing performance concerns, and escalating matters to the Program Manager when appropriate. Ensure safe and effective daily program operations, including maintaining required staff-to-child ratios, arranging staff coverage for absences and schedule changes, and supporting staffing decisions (in collaboration with the Program Manager when required). Review and approve staff timesheets, monitor scheduling accuracy, and ensure payroll information is submitted accurately and within established timelines. Stay within budget guidelines set by the YPHD Program Manager for program expenditures, managing program supplies, and submitting monthly supply expenses/invoices. Lead the planning, implementation, and evaluation of developmentally appropriate, inclusive, and engaging indoor and outdoor programming that aligns with the Provincial Before and After Program (BAP) requirements, and children's interests and developmental needs. Create and maintain a culture of inclusion, belonging, safety, and respect by modelling YMCA core values and leadership competencies. Ensure compliance with all YMCA policies and procedures, Child Safeguarding Standards, BAP requirements, Occupational Health and Safety legislation, and all mandatory training and certification requirements. Complete site administration, including maintaining accurate attendance records, participant documentation, incident reports, staff documentation, SharePoint records, ActiveNet information, and other required reporting within established timelines. Ensure all required documentation, including program plans, attendance records, incident reports, staff hours, and operational records, are accurate, complete, and uploaded as required. Maintain regular communication with families, including responding to questions and concerns, providing updates, and distributing monthly family communications through ActiveNet. Build and maintain strong relationships with families, school administrators, community partners, and external service providers to support positive outcomes for children. Support staff recruitment, onboarding, orientation, coaching, and ongoing professional development, while identifying learning opportunities to strengthen team performance. Participate in staff performance management by completing annual performance reviews in collaboration with the Program Manager and providing ongoing coaching and feedback throughout the year. Ensure YMCA equipment, technology, and program resources, including laptops, phones, radios, and other assets, are secure, maintained appropriately, and used solely for YMCA business by authorized staff. Ensure program supplies, snacks, and equipment are received, stored, inventoried, and maintained according to YMCA standards and food safety requirements. Attend and actively participate in mandatory leadership meetings, staff meetings, weekly supervision meetings, and other required YMCA training and professional development opportunities. Prepare for and support site audits, quality assurance reviews, ensuring operational readiness and compliance at all times. Perform other duties as required.

Education And Skills Qualifications

Must have own car or access to reliable transportation Highschool Diploma, or equivalent combination of education and experience, with a strong reference. Minimum 2 years of childcare experience with demonstrable evidence of experience linked to the role’s responsibilities Experience in supervising a staff team Working knowledge of school system and community resources an asset Demonstrated ability to meet multiple, competing deadlines and priorities Strong attention to detail Excellent verbal, written, and presentation/workshop facilitation skills Intermediate Microsoft Office Skills Flexibility to work different shifts within the operational hours of the program
