About The Opportunity
Our public sector client is seeking an experienced Intermediate Information/Records Management Specialist to support an aerospace program. Working within a multidisciplinary project environment, the successful candidate will be responsible for managing project documentation, records, technical publications, and information repositories while ensuring compliance with policies, security requirements, and records management best practices.
This role supports the ongoing implementation and transition activities of a major capital project and offers the opportunity to work alongside technical specialists, project managers, engineers, and stakeholders in a highly structured environment.
Duties include but are not limited to:
Administer and maintain RDIMS records and document repositories Organize, catalogue, retrieve, archive, and safeguard project documentation and technical records Maintain technical and contract publication libraries and project documentation Coordinate the receipt, tracking, storage, and distribution of classified and Controlled Goods documentation Support Access to Information searches and document retrieval activities Develop, update, and maintain Standard Operating Procedures related to information and records management Prepare reports, presentations, briefing materials, trackers, and other project documentation Support document control, configuration management, and change management activities Maintain organizational charts, employee lists, travel plans, and other project management records Perform data analysis and data mining activities to support reporting and decision making Participate in process improvement initiatives and recommend enhancements to information management practices Coordinate Visit Clearance Requests and maintain associated documentation Liaise with project stakeholders, DND personnel, contractors, and external agencies regarding documentation and information management activities Prepare regular status reports and provide knowledge transfer documentation when required
About You
The successful candidate will have the following:
Education
Post secondary education in Information Management, Library Sciences, Records Management, Business Administration, Public Administration, or a related discipline
Experience
A minimum of one year of demonstrated experience using RDIMS, or equivalent GoC document management system, in any capacity, within the last 3 years A minimum of one year within last five years of demonstrated experience in managing documentation that is either controlled under the Canadian Controlled Goods Program or the US International Traffic and Arms Regulations A minimum of five years experience within the last ten years as of bid closing, in managing a technical data resource centre, including at a minimum: managing access control, track document status, controlling organizational structure of data/resource centre, etc. A minimum of five years of experience within the past ten years as of bid closing, working in the field of Data Management in the following areas: Determining file plans* for technical data included at a minimum, but not limited to: drawings, test plans, procedures, reports and design change proposals Following and providing improvement recommendations of standard operating procedures Managing the physical storage of documents Processing of document deliverables including: Preparing and sending acknowledgement of receipts, file downloading of documents, and distributing deliverables to intended recipient A minimum of three years within the last ten years as of bid closing, of demonstrated experience in the application of Configuration Management. This includes, but is not limited to, control and processing of technical information to ensure compliance with configuration management processes, such revision control English essential Must hold a valid Government of Canada Secret Security Clearance Ability to work within environments subject to Controlled Goods requirements
