Manage complex calendars, coordinate meetings, and proactively identify scheduling conflicts and priorities. Monitor and manage executive inboxes, draft correspondence, and ensure timely follow-up on outstanding matters. Coordinate travel arrangements, including flights, accommodations, itineraries, and related logistics. Prepare meeting agendas, briefing materials, reports, presentations, and confidential documentation. Process monthly expense reports and reconciliations in accordance with organizational policies. Support executive meetings, committees, and advisory groups through scheduling, documentation, and coordination. Serve as a liaison between executives and internal teams to ensure projects, deadlines, and priorities remain aligned. Organize and maintain electronic filing systems, records, and corporate documentation. Assist with the planning and execution of internal events, retreats, and employee engagement initiatives. Provide backup support to other executive support functions as required. Contribute to special projects and other administrative initiatives as assigned. Qualifications Post-secondary education in business administration, office administration, or a related field. Demonstrated experience supporting senior executives in a professional environment. Advanced proficiency with Microsoft Office 365, including Outlook, Word, PowerPoint, Excel, and Teams. Strong written and verbal communication skills. Exceptional attention to detail and commitment to accuracy. Proven ability to manage multiple priorities and deadlines with professionalism and composure. Ability to exercise sound judgment and maintain strict confidentiality. Self-motivated, resourceful, and comfortable working independently. Adaptable and responsive in a dynamic, evolving environment. Previous experience with Adobe, Concur, Monday.com and Sharepoint would be an asset. Bilingualism (English/French) would also be an asset. Please note this is a full-time permanent in-office role, located in downtown Winnipeg. Ideal hours are Monday-Friday 8am-4pm or 8:30am-4:30pm.
