Operating out of six locations, Unison offers core services that include primary health care, counselling, health promotion, Early Years programs, legal services, harm reduction programs, housing assistance, adult protective services, Pathways to Education™ and a Diabetes Education Program. At this time, Unison is seeking a dedicated Administrative Assistant to join our Urban Health team. Reporting to the Urban Health Programs Manager, the Administrative Assistant provides secretarial and administrative support to the Program Manager and community health programming.

Job Specific Responsibilities: Provide secretarial and administrative support to the Urban Health Programs Manager. Assist with the preparation of business presentations and communications, such as program calendars, reports, proposals, minutes and other related documents. Support the development, scheduling, and posting of content on social media platforms or other digital channels to promote Urban Health events, workshops and programs and Primary Care Attachment initiatives. Assist with creating simple graphics, flyers, captions, and promotional materials using tools such as Canva or similar platforms. Monitor social media engagement and respond or escalate inquiries as appropriate. Ensure all social media content is respectful, inclusive, accessible, and culturally appropriate. Maintain an efficient and organized office area, including orderly electronic filing systems Coordinate the ordering and tracking of supplies for programs and teams, which may include: TTC tickets, office supplies, or other program resources Book space and equipment for meetings including set-up of audio-visual equipment, and ordering refreshments Coordinate staff time sheets on Dayforce Compile and prepare data reports Coordinate financial matters for teams including: submitting receipts and expense claims Submit administrative forms and reports in a timely fashion Assists in the coordination of meetings, initiatives and events, as required Updates and revises website content as requested Acts as a resource to other Unison administrative staff

Job-Specific Qualifications: Post-secondary education and/or equivalent combination of experience and education. 2 years of experience working in an administrative position. Able to exercise independent judgment and discretion in dealing with confidential matters. Strong organizational, analytical and problem-solving skills in combination with the ability to perform duties under minimal supervision. Self-directed and organized with the ability to manage time with overlapping priorities and multiple areas of responsibility. Attention to detail and be able to demonstrate consistently in daily work. Advanced computer literacy (word processing, Internet research, and spreadsheet and desktop publishing applications in a Windows environment, including MS Office). Experience using social media platforms for professional, community, or organizational communication. Strong written communication skills with attention to tone, clarity, grammar, and audience. Basic design skills and familiarity with tools such as Canva. Commitment to working cooperatively in a community-based setting as part of a multi-disciplinary team of staff, students and volunteers. Familiarity with the social, economic and cultural conditions of the project’s geographic area, experience in working with local service providers, community groups and networks, and an understanding of local issues and priorities are an asset. Experience serving Unison’s priority populations (seniors with complex needs, people with mental health & addiction issues, LGBTQ2IA+, and youth facing barriers). Demonstrated knowledge of, and sensitivity to, the impact of social, economic, environmental and cultural issues on diverse communities. Knowledge of issues affecting communities facing barriers to access in an urban environment. Excellent interpersonal skills, tact and diplomacy. Effective communication, organizational and administrative skills, skills specific to job requirements
