The Position

We are seeking a detail-oriented and organized Fleet Coordinator to oversee the day-to-day administration, maintenance, and coordination of our company fleet operations. This role is responsible for ensuring company vehicles are safe, compliant, and well-maintained. The ideal candidate is proactive, dependable, and able to manage multiple priorities in a fast-paced environment.

Location: Grimsby, ON

Role and Responsibilities: 

  • Maintain and prepare monthly fleet reports for management, including driver lists, vehicle condition reports and insurance claims
  • Coordinate with management and insurance providers to track and process vehicle insurance claims
  • Process annual vehicle licensing renewals and ensure updated documentation is distributed to employees
  • Perform inspections and maintenance checks on company vehicles, when onsite
  • Coordinate and assist with transporting company vehicles to repair facilities for scheduled maintenance and repairs
  • Maintain accurate records for refrigerant and parts inventory by ensuring all items are signed in and out using the designated logbook
  • Inspect, clean, and prepare new and returned company vehicles and trailers to ensure they are ready for assignment
  • Monitor inventory levels of safety equipment, including harnesses, gloves, and other required PPE, ensuring supplies are available when needed
  • Coordinate with the Parts Department using the barcode inventory system
  • Assist the Parts Department with receiving, organizing, and picking parts, as required
  • Maintain approved repair vendors across multiple provinces and obtain quotes for larger repairs
  • Perform other duties and responsibilities as assigned

 

Qualifications and Education Requirements: 

  • High school diploma or equivalent
  • Minimum 1-3 years experience in a similar position
  • Excellent English communication skills (written and verbal)
  • Team player with the ability to communicate and collaborate with others
  • Excellent organizational skills and ability to multi task
  • Proficient in Microsoft Office 
  • Willingness to learn new skills and software
  • Ability to work Monday to Friday, with flexibility to work shifts between 7:00am - 5:00pm
