About the role

This position works in the Operations & Asset Management organizational unit, primarily supporting Parks operations within the Parks, Recreation and Culture (PRC) Department. This is administrative, supervisory and clerical work of some complexity in providing services to the department. An incumbent supports department-wide operations; supervises and participates in the work of one or more clerical staff; assists with the preparation of the department budget and monitors division budget for variances to actual; processes department invoices; participates in planning and coordinating department events; reviews, develops and implements new office procedures. The incumbent assigns, checks and follows up on clerical work; supports the training and coaching of clerical staff; assists staff in resolving more complex administrative issues; and prepares, compiles, formats and checks reports, spreadsheets, correspondence and related administrative materials for accuracy, completeness and consistency. Considerable independence of judgment and action is exercised in most aspects of the work, with the more complex problems and matters of policy and those of a contentious nature referred to a supervisor. Performs related work as required.

Qualifications include completion of Grade 12 supplemented by a post-secondary program in public administration, business administration, office administration or a related field, plus considerable related experience or an equivalent combination of education, training and experience. Thorough knowledge of business English, spelling and punctuation and of standard office practices and procedures; of the functions and objectives of PRC, and applicable regulations, policies, rules and procedures. Ability to arrange and coordinate meetings and events; to assign, check and supervise the work of one or more subordinates; to coach staff and follow up on work assignments and performance issues; engaged in clerical duties; to participate in hiring and training subordinates; to establish and maintain effective working relationships with a variety of contacts; to prepare and maintain a variety of records and files; to maintain confidentiality and to communicate effectively orally and in writing; to develop, implement and ensure the maintenance of effective office methods, systems and procedures.
