Job Summary

Please note that this role is required to be on-site from 7am to 3pm, 5 (five) days per week.

UBC Facilities is responsible for the lifecycle stewardship of all academic and administrative buildings, public spaces, and utility assets on the UBC Vancouver Point Grey campus. In support of this, the Clerk 2 provides reception and clerical support to the units within UBC Facilities. The Clerk 2 works in accordance with established policies, procedures, and collective agreement provisions.

Organizational Status

The Clerk 2 reports directly to the Manager, Customer Services. Receives daily direction and instructions from the Customer Services & Informatics Clerk 4 and works collaboratively with other administrative staff within the department.

Work Performed

Performs on-site reception duties for Facilities USB 2nd floor reception Sorts mail in the USB 2nd floor reception and sorts invoices for Accounts Payable. Duties include picking up and dropping off mail from the Receiving area on the ground floor, and may require occasional bending, reaching, carrying, and lifting of materials Prepares and dispatches packages via courier services Maintains UBC directory and Facilities contact lists Supports printing, photocopying, and document preparation for staff and departmental activities Scans and files records and documents Maintains data entry for Overtime and Temporary Promotion approvals Pulls Workday reports as required Prints and binds training materials Supports Facilities Safety training sessions, ensuring trainees attend and arrive on time and that audiovisual equipment is functioning properly, submitting and tracking AV service requests as needed Distributes wallet cards to staff upon completion of Safety Training Orders coffee supplies, verifying receipt and storage of orders, and processing invoices Maintains shared USB 2nd floor kitchenette, including refrigerator cleanout, Keurig descaling, and submitting and tracking service requests for water filter changes, ensuring area remains clean, functional, and well-maintained Orders, receives, and stores UBC Facilities office supplies in designated locations; duties may require occasional bending, reaching, carrying, and lifting of materials Supports room bookings Supports meeting set-up, duties may require occasional bending, reaching, carrying, and lifting of materials Performs miscellaneous UBC Facilities administrative tasks as required

Works within well-defined guidelines and procedures, but is expected to exercise some judgment in establishing priorities and carrying tasks through to completion; new or unusual problems are referred to the supervisor.

Preferred Qualifications

High School graduation. Training in basic office procedures and practices. Minimum of 2 years related experience or the equivalent combination of education and experience. Ability to communicate effectively verbally and in writing.

Ability to provide quality service to customers in a courteous, patient manner. Ability to maintain accuracy and attention to detail. Ability to work effectively independently and in a team environment. Ability to exercise tact and discretion.

Ability to use a computer terminal, photocopier, and other related office equipment. Ability to effectively use Outlook, MS Word, and MS Excel at an intermediate level. Ability to type 50 w.p.m.|
