We are seeking an experienced Project Coordinator to become the operational backbone of our Project Management team. This is not a traditional coordination role focused solely on paperwork. We are looking for someone who thrives on organization, enjoys solving problems, and takes pride in making projects run more efficiently. The successful candidate will work closely with our Project Managers and Site Superintendents, owning the coordination and administration of multiple commercial and industrial construction projects from award through closeout. What You’ll Do As Project Coordinator, you will be responsible for coordinating the day-to-day administrative and operational activities of multiple commercial and industrial construction projects. Working closely with Project Managers and Site Superintendents, you will ensure projects remain organized, well documented, and positioned for successful execution.

Project Documentation & Document Control Maintain complete and accurate project files from project award through closeout. Manage RFIs, submittals, shop drawings, drawing revisions, specifications, and document distribution. Maintain project correspondence and document logs. Ensure project documentation is organized, current, and readily accessible.

Contract Administration Prepare and administer subcontract agreements. Issue purchase orders and monitor commitments. Collect statutory declarations, insurance certificates, bonding documentation, and required compliance records. Assist with contract administration throughout the project lifecycle.

Change Management One of your most important responsibilities will be supporting the successful management of contract changes. You will: Identify potential changes to contract scope. Work with field staff to gather supporting documentation. Maintain change order logs. Prepare complete change order packages for Project Manager review. Ensure potential revenue opportunities are documented promptly and accurately.

Procurement & Project Coordination. Coordinate material procurement and supplier deliveries. Monitor long-lead procurement items. Assist Project Managers with scheduling and milestone tracking. Support project planning and coordination activities. Attend project meetings and prepare meeting minutes when required.

Cost & Progress Tracking Assist with tracking project budgets and commitments. Monitor change order status. Assist with monthly project reporting. Maintain project schedules and progress updates.

Safety & Compliance Maintain SiteDocs project documentation. Track safety documentation, toolbox talks, incident reports, and compliance records. Assist with project quality documentation as required.

Project Closeout Coordinate deficiencies. Assemble Operations & Maintenance Manuals. Compile warranty documentation. Coordinate As-Built drawings. Prepare project turnover packages.

Field Support Although this is primarily an office-based position, you will periodically visit project sites to: Attend meetings. Support Project Managers and Site Superintendents. Collect project information. Review project progress. Ensure project documentation reflects current site conditions.

Qualifications Required Minimum 5 years of experience coordinating commercial and industrial construction projects or providing senior project administration support within a commercial or industrial general contracting environment. Diploma in Civil Engineering Technology or equivalent experience in commercial and industrial construction. Strong understanding of construction contracts, project documentation, and change management. Experience coordinating multiple construction projects simultaneously. Valid driver’s licence.

Software Experience The successful candidate will have experience using: Sage 100 Microsoft 365 Microsoft Excel Bluebeam Revu SiteDocs Experience with additional construction management software is considered an asset.

What Success Looks Like Within your first year, you will have: Significantly reduced the administrative workload of our Project Managers. Improved project organization and document control. Helped ensure contract changes are identified, documented, and submitted promptly. Maintained organized, audit-ready project files. Improved the efficiency of procurement, project coordination, and project closeout activities. Become a trusted resource for both our office and field teams.
