About the role

Job Description

On behalf of client Affinity is currently in search of a Sr Document Controller. This position plays a critical role in supporting operational excellence by ensuring the accuracy, integrity, and compliance of controlled documentation within a complex industrial environment. Working closely with engineering, operations, and business stakeholders, the role is responsible for coordinating document lifecycle activities with a strong focus on process safety and change management. It offers the opportunity to contribute to regulatory compliance, audit readiness, and continuous improvement of document control practices within a high-performing team.

Responsibilities

Coordinate daily document control activities to ensure documentation is properly received, reviewed, processed, issued, and maintained within defined timelines Maintain tracking systems, logs, and registers to provide full visibility into document status, ownership, and history Apply consistent standards for document numbering, naming conventions, metadata, and revision control across all controlled records Support the intake, tracking, and close-out of Management of Change (MOC) documentation, ensuring alignment with internal processes Review submitted documentation for completeness, accuracy, and adherence to required approval workflows prior to advancement Collaborate with engineers, coordinators, and stakeholders to resolve document gaps, missing information, or inconsistencies Manage master document sets, ensuring only current and approved versions are available and obsolete versions are properly archived Process incoming and outgoing documentation, including transmittals, revisions, distribution, and status updates Monitor document workflows and escalate overdue actions, bottlenecks, or risks impacting timelines Support lifecycle management activities such as redlines, revisions, superseded records, archiving, and retention compliance Identify discrepancies or conflicting information and determine appropriate action (clarification, correction, escalation) Ensure all documentation practices align with internal standards, policies, and regulatory expectations Upload, organize, and maintain documents within enterprise content management systems (e.g., OpenText, SharePoint, or network repositories) Maintain structured folder hierarchies and ensure metadata accuracy across document repositories Assist with audit preparation by providing documentation, traceability records, and supporting evidence as required Contribute to continuous improvement initiatives by identifying opportunities to streamline document workflows and processes Provide regular updates on progress, priorities, risks, and outstanding items to stakeholders and leadership Communicate issues proactively and escalate barriers that may impact completion timelines or business operations

Qualifications

3–7+ years of experience in document control, preferably within energy, utilities, engineering, or industrial environments Proven experience managing controlled documents within enterprise content management systems such as OpenText, SharePoint, or similar platforms Hands-on experience supporting Management of Change (MOC) processes and process safety documentation Strong understanding of document lifecycle management, including version control, metadata standards, and archival practices Demonstrated ability to manage multiple workflows simultaneously while meeting strict deadlines Experience maintaining document registers, tracking tools, and audit-ready records Familiarity with regulatory and compliance requirements related to controlled documentation in operational environments Strong attention to detail with the ability to identify discrepancies, inconsistencies, and missing information Excellent communication skills with experience collaborating cross-functionally with engineering, operations, and business teams Ability to prioritize tasks effectively and manage competing demands in a fast-paced setting Experience supporting audits, inspections, and documentation requests with accuracy and efficiency Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and document tracking/reporting tools Strong organizational and analytical skills with a process-oriented mindset Ability to work both independently and within a team, demonstrating accountability and follow-through Continuous improvement mindset with experience enhancing workflows or document control practices
