The Role:
At Sunwing Vacations, we are currently seeking a Group Sales Coordinator to help bring vacation dreams to life. In this role, you will be responsible for providing administrative support to assigned group accounts and sales representatives. This includes creating and modifying bookings and performing various related tasks to ensure prompt and efficient service for group travelers and travel agents

The successful candidate will report to the Supervisor, Group Sales Support and will be based in Laval, Montreal.

Responsibilities:

  • Process group booking requests
  • Review quotes against the reservation system and verify pricing
  • Reconcile booking files
  • Collaborate with product pricing, inventory, and costing teams as needed
  • Confirm booking numbers with group sales representatives and transfer bookings for contract and initial invoice issuance
  • Identify the group leader on bookings and collect their contact information
  • Follow up with clients regarding payments and outstanding balances; escalate collection issues to group sales representatives
  • Make booking changes as requested by sales representatives or clients
  • Process group seat block allocations and seat selections
  • Handle booking cancellations in accordance with contractual policies
  • Prepare bookings with final rooming lists
  • Issue invoices for booking changes to keep clients informed of reservation status and outstanding balances
  • Upload electronic documents as required
  • Validate and adjust insurance on files when needed
  • Resolve duplicate seat selections
  • Assign complimentary Elite Plus seats for newlyweds and group leaders
  • Follow up on pending names and dates of birth
  • Attend training sessions organized by management and group sales trainers
  • Maintain up-to-date product knowledge and complete ongoing training
  • Participate in product webinars
  • Organize information for quick reference
  • Stay informed of procedural updates and changes
  • Assist with incoming calls as needed
  • Monitor and respond to administrative emails
  • Provide coverage during group sales representatives’ absences
  • Manage assigned group specifications from start to finish
  • Perform other duties as assigned

Your Profile:

  • Minimum of 1 year of administrative and customer service experience
  • Strong time management skills with the ability to multitask and prioritize
  • Excellent organizational skills and attention to detail
  • Comfortable interacting with clients
  • Strong verbal and written communication skills (phone and email)
  • Problem-solving abilities
  • Ability to work independently and contribute to a positive team environment
  • Proficiency in Microsoft Office; experience with reservation systems is an asset
  • OPC certification required where applicable
