About the role

The Office of Research Administration (ORA) is currently looking for a Research Contracts Coordinator to join the contracts team. The contracts team reviews research agreements including clinical trial agreements, material transfer agreements, non-disclosure agreements, service agreements and other research-related contracts for all three sites that are a part of Unity Health Toronto (St. Michael’s Hospital, St. Joseph’s Health Centre and Providence Health Care). The primary responsibility of the Research Contracts Coordinator is to support research contracts review by overseeing the intake, assignment and signature process for contracts as well as managing the database. With this position comes the opportunity to learn about contract negotiation and there is potential for growth within the team.

Currently staff in the ORA are working primarily from home with some monthly on-site team days, this may be modified in future. During the training period the successful candidate may be required to come on site for training and at other times as needed. The ORA offices are located near the St. Michael’s Hospital site in the Li Ka Shing Knowledge Institute.

Duties & Responsibilities

Responsibilities for the Research Contracts Coordinator include:

in-take and final execution/ signature of all research contracts,

providing customer service support to the research community and external partners,

template support & process improvement,

data analysis, tracking and detailed filing/ management of all contracts within the network,

effectively communicating with Principal Investigators (PIs) and their research teams about their contracts

coordinating institutional signatures through the Adobe sign platform,

preparing reports and graphs using excel,

updating the website,

setting up internal/external meetings, attending meetings and taking minutes and

ensuring database* information is accurate and up to date.

The role is the key support person for the contracts team and for the research community. It supports a team of 8 reviewers as well as more than 200 researchers at Unity Health. *Currently the contracts team is looking to procure a new contracts management system. The Research Contracts Coordinator would support with the role out of this new system once procured and have regular ongoing communication with the system team.

Qualifications

Undergraduate degree OR equivalent combination of similar coordination experience and alternative education;

Minimum 2 years coordination or similar coordination experience in administration;

Certification as a law clerk, legal assistant or paralegal would be an asset;

Experience in healthcare, research or legal setting preferred;

Experience working in an office;

Demonstrated ability to work independently and collaboratively with others;

Excellent communication skills (written and verbal);

Excellent time management and organizational skills;

“Tech Savvy” (intermediate+ knowledge of Excel, Word, and Outlook, editing pdfs that are “locked”, understanding Adobe Sign and issues that come up with the program, ability to clearly communicate and troubleshoot with PI’s/researchers experiencing tech issues (re: Adobe Sign);

Excellent customer service experience and the ability to remain professional under pressure and competing priorities;

High degree of attention to detail required;

Process driven and experience writing out and detailing processes;

High degree of problem solving and investigation required;

Experience in a high volume fast-paced environment;

Adaptability to changing levels of urgency (Same day signatures, Financial Year end increased workload, last minute urgent requests).
