Home Instead® is seeking a positive, energetic, reliable, organized, hospitality/customer service driven Staff Scheduling Manager to join our Scheduling Team.
Staff Scheduling Managers carefully match senior clients with Care Professionals to ensure every client receives the right care from the right person. This is a dynamic role that requires a strong understanding of clients' unique needs, excellent judgment, and the ability to support and coordinate a team of Care Professionals. Our best Schedulers are people who attack their work! Every day brings new scheduling challenges, making this an ideal opportunity for someone who enjoys problem-solving, multitasking, and working collaboratively. Success in this role requires exceptional customer service, strong attention to detail, and the ability to maintain accurate documentation while managing multiple priorities. Managing our client's needs while matching the perfect caregiver sounds easy, but it requires a special skill set to do it right!
ABOUT THE ROLE
Matching the right Care Professional with the right client requires excellent communication, critical thinking, and organizational skills. As a Staff Scheduling Manager, you will coordinate care schedules, support Care Professionals, answer phones, complete administrative duties, and support other team members in order to provide the highest quality service to our clients. Understanding the importance of the company’s core values and mission are essential to the success of this role.

This is a full-time, permanent, in-office position based in Calgary, AB.
Regular Schedule: Monday to Friday, 8:00 am – 4:30 pm
Please note: Participation in an on-call rotation is required.
KEY RESPONSIBILITIES
- Coordinate and manage caregiver schedules to meet client care needs.
- Match Care Professionals with clients based on skills, availability, and compatibility.
- Respond promptly to scheduling changes and resolve staffing challenges.
- Communicate clearly and professionally with clients, Care Professionals, and team members.
- Managing client/ Care Professional scheduling concerns/requests.
- Management of Care Professional includes development and proactive management.
- Maintain accurate and timely documentation within our CRM system.
- Answer incoming calls and provide exceptional customer service.
- Build authentic relationships with each Care Pro knowing their strengths and weaknesses, likes and dislikes to support a positive work experience.
- Collaborate with the office team to ensure continuity of care and operational excellence.
- Share the On-Call responsibility Holidays and when office is closed.
- Prepare daily task list, making sure to carry over any tasks that were not completed from the day before.
QUALIFICATIONS
Required:
- Mandatory - advanced verbal and written English communication skills
- Strong computer skills, including Microsoft Windows and email.
- Previous leadership, supervisory, or management experience.
- Experience in the hospitality or service industry
- Outstanding organizational and time management skills.
- Exceptional customer service and interpersonal skills.
- Ability to thrive in a fast-paced, high-volume environment.
- Positive attitude, professionalism, and strong problem-solving abilities.
- Energetic and outgoing personality.
- Ability to work full-time from our Calgary office.
Assets:
- Experience in healthcare or home care.
- Experience using scheduling or database software/CRM systems.

- Competitive salary of $58,000–$62,000 per year
EDUCATION
- Secondary school diploma (preferred)
EXPERIENCE
- Schedule management: 1 year (preferred)
