About the role

Job description:

Grand Touring Automobiles is seeking a highly organized and customer-focused Super Luxury Automotive BDC Administrator to support the daily operations of our centralized Business Development Center (BDC). This role is responsible for coordinating customer communications, scheduling service appointments, assisting with towing arrangements, maintaining accurate records, and supporting multiple Super Luxury dealership locations.

The ideal candidate is professional, detail-oriented, able to multitask in a fast-paced environment, and committed to delivering an exceptional customer experience.

Responsibilities

  • Answer inbound customer calls, emails, and online inquiries in a professional and timely manner
  • Schedule and confirm service maintenance appointments for multiple dealership locations
  • Coordinate towing requests and communicate with tow providers and dealership staff
  • Follow up with customers regarding upcoming appointments, missed appointments, and service reminders
  • Maintain accurate customer records and appointment notes within dealership systems
  • Route calls and inquiries to the appropriate departments or dealership personnel
  • Monitor appointment availability and assist with workload balancing between locations
  • Support BDC representatives and dealership management with administrative tasks
  • Ensure all customer interactions are handled professionally and in accordance with dealership standards
  • Assist with reporting, data entry, and tracking of appointment metrics and customer follow-up activity
  • Work collaboratively with service advisors, managers, and dealership staff to ensure smooth operations

Qualifications

  • Previous automotive dealership, BDC, customer service, or administrative experience preferred
  • Software experience with dealership systems specifically CDK
  • Experience operating OEM portals
  • Strong communication and interpersonal skills
  • Excellent organizational and multitasking abilities
  • Ability to remain calm and professional in a fast-paced environment
  • Strong computer skills and ability to learn dealership software systems
  • Attention to detail and accuracy in data entry and scheduling
  • Reliable, dependable, and team-oriented
  • Experience handling high call volumes is considered an asset
