Communications and Administrative Coordinator Doctors Nova Scotia Office Location: Dartmouth, NS Closing Date: July 31, 2026 Salary Range: $47,823.56 - $59,781.48

Doctors Nova Scotia (DNS) is the professional association representing all physicians in the province, with over 5,500 members including practicing and retired physicians, medical students, and residents. As the collective voice of physicians in Nova Scotia, the association is committed to working with health-system partners to ensure the province can recruit and retain skilled physicians while continuously improving patient care.

Reporting to the Director, Communications & Member Engagement, the Communications and Administrative Coordinator plays a vital role in the effective delivery of organizational communications and the day-to-day operations of the team. This position is perfect for a highly organized, detail-oriented individual who excels at operational coordination and thrives in a fast-paced, team-based environment.

Core Responsibilities In this dual-focused role, you will coordinate digital communications and provide comprehensive administrative support to ensure timely follow-through on team priorities. Communications & Digital Coordination: Coordinate targeted member communications using marketing and email platforms; manage audience segmentation within email marketing platforms and CRM tools; and update website content. Analytics & Reporting: Track digital engagement using tools like Google Analytics and Higher Logic to enhance communication strategies, and coordinate surveys via SurveyMonkey. Administrative Excellence: Manage calendars, schedule meetings, coordinate travel and logistics, and prepare essential materials, reports, and meeting minutes. Project & Team Support: Track action items for committees and project teams, coordinate team workplans, and support both virtual and onsite engagement activities. Member Support: Act as a primary point of contact for member and public inquiries, while participating in shared reception coverage and general office support.

Qualifications You are a proactive professional with a commitment to accuracy and a strong background in operational support. Education: Post-secondary education in office administration, communications, business administration, or a related field (or equivalent combination of training and experience). Experience: A minimum of five (5) years of relevant experience in administrative or communications coordination. Technical Skills: Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint) and experience with digital tools such as email marketing platforms and website CMS. Soft Skills: Exceptional organizational and time-management skills with the ability to handle sensitive information with professional discretion. Assets: Experience with CRM-based segmentation, Adobe Creative Suite, or working within a professional association or healthcare environment is considered a strong asset.
