Role Description The Administrative Assistant is a full-time position on-site in Peterborough. This position is responsible for managing front-office operations, including answering phones, greeting clients and staff, scheduling in-office appointments, and maintaining communications. Day-to-day tasks include handling correspondence, scanning and organizing client files and documentation, data entry, preparing reports and forms required for clinical and administrative processes, and assisting with office supply management and basic facilities coordination. The Administrative Assistant collaborates with therapists and other team members to ensure smooth operations, professional communication, and a welcoming environment for clients and partners.
Qualifications Strong Administrative Assistance and Executive Administrative Assistance skills, including document organization. Professional Phone Etiquette and Communication skills, with the ability to interact clearly and respectfully with clients, families, and stakeholders. Solid Clerical Skills, such as filing, data entry, record keeping, and basic document preparation. Proficiency with office software (e.g., word processing, spreadsheets, scheduling tools) and comfort learning new digital systems. Knowledge of SkeduleX preferred. Attention to detail, strong organizational abilities, and reliability in managing multiple tasks and deadlines. Experience in a healthcare, rehabilitation, or community services environment is an asset Post-secondary education in office administration or a related field is an asset. Ability to maintain confidentiality and handle sensitive information in line with privacy standards.
