Position Summary The Executive Assistant (EA) provides day to day executive assistant support to the Chief Operating Officer (CEO) and DASCH’s Board of Directors as well as coordinates all administrative tasks associated with the work of the CEO including, but not limited to, agenda planning and coordination, meeting administration including minute taking of Senior Leadership and Board meetings, booking meeting space, etc. The EA provides executive assistant support to members of DASCH’s Senior Leadership Team as required. The position of EA functions in a manner consistent with and supports the mission, vision and values of DASCH. Role & Responsibilities Provides confidential executive administrative support to the CEO and Board members while ensuring comprehensive administrative management functions are maintained. Manages and coordinates CEO’s schedules. Reviews and screens incoming correspondence to the CEO and prepares, channels and refers for response and action while ensuring completion or disposition. Drafts correspondence such as emails, letters and memos on behalf of the CEO and Board members. Support activities related to assigned meetings/committees including meeting agendas, organization and recording and production of minutes and follow up actions. Types and formats policies, pamphlets, forms, letters, reports, etc. as required. Provides contract management administrative support for the CEO. Prepares data analysis and research for project proposals, business cases, evidence informed briefing notes, etc. Liaise with internal and external stakeholders. Develops and maintains an administrative filing system. Files (paper and electronically) as necessary and maintains the security and confidentiality of all files. Plans, coordinates and participates in the support of DASCH projects. Readily available at the need of the CEO for unexpected events and duties as assigned. Skills & Qualifications Minimum three (3) years related administrative experience at an executive level is required. Completion of a recognized administrative or paralegal program or a suitable combination of education and experience required. Demonstrated knowledge and ability to use Microsoft Office including: Word, Excel, Access, PowerPoint, etc required. Accurate typing skills with a minimum of 60 words per minute. Demonstrated effective verbal and written communication skills with staff, outside organizations and the public. Exceptional writing and grammar skills required. Demonstrated self-start ability to work independently with minimal supervision. Proven organizational, analytical and interpersonal skills. Ability to work with a variety of sensitive information and maintain confidentiality. Ability to work under pressure and meet deadlines. Work Hours: Full Time, 35 hours per week Monday to Friday Occasional evening and weekend work may be required to support Board meetings, organizational events, and operational needs Pay + Perks Starting Salary: $65,000 Three weeks of vacation earned over your first year are available to use as you earn them. Six wellness days to use days per year. Comprehensive employer-paid training. Career growth opportunities. Long-term disability insurance. DASCH supports people from ages 8 to 74 within over 58 homes throughout Winnipeg. People can participate in personalized social, educational, vocational and recreational services that provide learning opportunities and greater independence.
Since the movement from institutionalization to community living evolved, DASCH have made large strides in empowering an otherwise historically overlooked population of our society.
