Position Summary
The Program Assistant, Medical Responder Program, is responsible for providing primary administrative and operational support for the day-to-day delivery of the program, with a strong emphasis on student contact and support. This role serves as a key point of contact for students, responding to inquiries, assisting with registration and enrolment processes, supporting course logistics, and helping ensure a positive student experience. The position also supports program operations by coordinating schedules, maintaining records, and assisting divisional staff with activities that enable the effective delivery of Medical Responder training.
Additionally, the Program Assistant is tasked with managing curriculum design and development documents, maintaining and formatting various documents and materials using MS Word, Excel, PowerPoint, and Adobe Acrobat, InDesign and producing documents related to course delivery and data management. Responsibilities also include preparing for course delivery by organizing materials, scheduling rooms and courses, compiling data, generating reports, preparing templates for student enrolment and surveys, and entering data into Colleague and Blackboard, grading in Self-Service. The role requires organizing meetings, updating program-specific webpages, ordering supplies, processing invoices, and responding to inquiries. The Program Assistant must maintain effective working relationships, work independently, and manage sensitive issues with discretion and confidentiality.

Qualifications & Requirements
Secondary school graduation, plus three (3) years office experience; or an acceptable equivalent combination of education, training, and experience; Proficiency in the operation of Word, Excel, PowerPoint, Outlook, Colleague (student registration), and Blackboard (learning management system); Excellent verbal and written communication, customer service, and organizational skills; Must be open and adaptable to changing processes with an ability to be proactive and become part of solutions; Ability to establish work priorities, multi-task, and meet deadlines while working with frequent interruptions; Strong written and verbal communication skills, including accurate spelling, grammar, and proofreading, are required; Ability to carry out complex instructions accurately; Ability to establish and maintain effective working relationships with a variety of internal and external contacts in a team-based setting is very important, including staff, students, and the public; Proven ability to work independently, meet deadlines, solve problems, remain calm under pressure, and deal with sensitive issues with discretion and confidentiality; Physical ability to lift boxes (up to 25 lbs.) is required. Ability to learn new skills.

What JIBC Offers
We offer a total compensation package that includes Extended Health and Dental Benefits, and enrollment in the Municipal Pension Plan after six months. In addition, we offer 15 vacation days annually (pro-rated in first year), as well as other generous leave entitlements.
Salary Range
$50,534.82(with wage increments to a max of $53,951.31). Salary and wage increments are in accordance with the Collective Agreement. (BCGEU Pay Grid 9)
Position is currently eligible for Service Improvement Allocation of $41.65 bi-weekly

Work Arrangements
This is a regular, full-time (35 hours per week) position. Must be within a commutable distance to JIBC's New Westminster Campus. This position may be considered for a hybrid work arrangement.
